Executive AssistantProvident Financial Management is a premier business management firm based in Los Angeles, specializing in providing comprehensive tax, accounting, and financial management services to entertainers, musicians, and other high-net-worth clients. We pride ourselves on delivering exceptional client service while maintaining the highest standards of professionalism, discretion, and integrity.We are seeking an organized, proactive, and detail-oriented Executive Assistant to support senior leadership and contribute to the day-to-day operations of our growing firm. This individual will play a key role in ensuring administrative processes run efficiently while providing exceptional support in a fast-paced, client-focused environment.This position is based in our Los Angeles office and requires on-site attendance Monday through Friday. Standard business hours are 8:00 a.m.

– 5:00 p.m., with some flexibility available.Primary Responsibilities:The Executive Assistant will provide administrative and operational support to senior leadership while assisting with a variety of internal office functions. This role requires someone who can effectively manage multiple priorities, maintain strict confidentiality, and communicate professionally with both internal staff and clients.Responsibilities include, but are not limited to:Manage executive calendars, schedule meetings, and coordinate appointmentsArrange domestic and international business travel, including flights, hotels, and transportationTrack, prepare, and submit expense reportsPrepare, edit, and format correspondence, agreements, and other business documentsMaintain electronic and physical filing systems, including scanning and document organizationPrepare and maintain Excel reports and spreadsheetsManage incoming mail and distribute correspondence appropriatelyUtilize DocuSign and ShareFile for document preparation, execution, and file managementEnter and maintain employee timesheetsManage office subscriptions and recurring administrative tasksAssist with client billing and invoicingProcess wire transfer requestsTrack continuing professional education (CPE) hours and professional license renewalsProvide professional client service and maintain regular communication with clients and business partnersPerform additional administrative and operational duties as needed to support leadership and the broader teamQualifications:3+ years of executive or administrative assistant experience in a professional services environment preferredIntermediate to advanced proficiency in Microsoft Outlook, Word, Excel, and TeamsExcellent organizational and time management skills with the ability to prioritize competing responsibilitiesStrong verbal and written communication skillsHigh attention to detail and accuracyAbility to exercise sound judgment and maintain strict confidentialityComfortable working in a fast-paced environment with changing prioritiesProfessional demeanor with strong interpersonal skills and the ability to work effectively with individuals across all levels of the organizationExperience with DocuSign and ShareFile is preferredNotary Public certification is a plus, but not requiredThe ideal candidate is highly organized, adaptable, and thrives in a dynamic environment. They enjoy being the go-to person for administrative support, are comfortable managing multiple projects simultaneously, and take pride in producing high-quality work. This individual will quickly learn office policies, procedures, and team dynamics while becoming a trusted resource for both leadership and colleagues.This position is an exempt position.

The annualized base pay range for this role is expected to be between $85,000-$100,000 base salary compensation range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant's skill set. The base pay is just one component of the total compensation package. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k).
