You'll manage complex, fast-changing schedules, coordinate people and logistics, build repeatable systems, and handle confidential information with complete discretion.Key ResponsibilitiesManage dynamic, fast-changing calendars; protect and prioritize the CEO's time, comfortable saying "no" or "not now."Turn ideas and conversations into projects and action plans; track commitments, deadlines, and action items so nothing slips.Coordinate travel, itineraries, logistics, and expense reporting.Prepare the CEO for meetings — agendas, materials, presentations, minutes, and follow-ups.Build repeatable systems; coordinate people, events, and vendors; solve logistical problems quickly.Draft communications and act as liaison with internal/external stakeholders; partner across Operations, Finance, and HR.Maintain strict confidentiality; use AI tools to sort information and multiply effectiveness.Who You AreHighly organized and detail-obsessed — you love creating order out of chaos.Proactive; you anticipate needs before being asked.Calm under pressure and thrive amid fast-changing priorities.Dependable, with every-time follow-through.High EQ, sound judgment, and discretion; loyal and self-directed.A systems thinker with exceptional prioritization.Skills & ToolsAdvanced calendar and executive travel management; event and vendor coordination.Project management, task-tracking, minute-taking, and executive presentation prep.Excellent written and verbal communication.Microsoft 365, CRM / task-management software, and AI familiarity.Experience5+ years supporting senior executives, ideally in a fast-paced or high-growth environment.Physical RequirementsExtended periods at a desk/computer; able to lift up to 40 lbs at times; willing to travel as needed.
