An established private equity firm in Boston has an immediate need for an Executive Assistant to support the Head of Investor Relations and a small team of IR professionals. This is a high-visibility role requiring exceptional organizational skills, discretion, and a commitment to delivering white-glove administrative support with meticulous attention to detail.

Base pay range

$40.00/hr - $48.00/hr

Key Responsibilities

  • Calendar & Meeting Management: Coordinate complex calendars, schedule meetings, and track follow-up actions for the Head of Investor Relations and IR team.
  • Travel Coordination: Arrange domestic and international travel, including itineraries and expense reporting, ensuring seamless experiences.
  • Document Preparation: Prepare, edit, and format presentations, correspondence, and reports for executive leadership and external stakeholders.
  • Event Planning: Organize logistics for meetings, programs, events, and conferences involving senior leaders, shareholders, analysts, and other stakeholders.
  • Inbox & Communication Management: Monitor and manage the Investor Relations email inbox and phone line, ensuring timely and accurate responses to investor inquiries.
  • Database Maintenance: Maintain investor databases to track institutional ownership, engagement activity, and document interactions.
  • Project Support: Assist with functional projects, special reports, and analyses for the IR team.
  • Research & Archiving: Track, organize, and archive sell-side analyst publications and related materials.
  • Website Updates: Maintain and update the Investor Relations section of the company website, ensuring accuracy and timely disclosure.

Qualifications

  • Proven experience as an Executive Assistant or similar role supporting senior leadership.
  • Strong organizational and time-management skills with the ability to handle multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM or investor databases.
  • Ability to work independently and maintain confidentiality in a fast-paced environment.
