Base pay range

$100,000.00/yr - $110,000.00/yr

Seeking an Executive Assistant for Human Resources Group. This individual will support the Co-Head and the Managing Director (MD) of HR, as well as support several of the teams Managing Directors and Directors. The ideal candidate is a highly motivated, proactive, and detail-oriented individual with a strong work ethic. This role requires the ability to work in a fast-paced environment with a focus on client-service, problem solving, and proactively resolving issues. The global HR team consists of approximately 65 members and supports a premier global independent investment banking advisory firm of approximately 2,400 employees.

Responsibilities

  1. Extensive calendar management: proactively prioritizing a constantly evolving schedule to keep the Co-Head and MD on track as well as monitoring the Managing Directors and Directors calendars
  2. Anticipate and resolve potential scheduling/logistical conflicts with an appropriate sense of urgency and professionalism
  3. Act as gatekeeper for the Co-Head and MD; diligently screen phone calls and internal/external inquiries as necessary to maximize time of managers
  4. Handle confidential materials for the HR team with the utmost degree of care, integrity, and discretion
  5. Excellent communication skills and ability to develop strong working rapport with employees at all levels of the firm
  6. Prepare and process expense reports utilizing Workday
  7. Handle domestic and international travel arrangements

Minimum Qualifications (required)

  1. 8+ years of experience
  2. Punctual, organized, and extremely detail-oriented
  3. Excellent analytical, time-management, and organizational skills; flexibility and ability to manage several priorities/projects in a very fast-paced environment
  4. Superior communication and interpersonal skills – both written and oral
  5. Strong team player with positive attitude and willingness to assist with all assigned duties
  6. Proficiency in Microsoft Office (especially Office, Excel, PowerPoint and Word)

  2. Familiar with operating as part of a global team
  3. Sound judgment – knowing when to escalate an issue combined with a willingness to be flexible and pragmatic when appropriate
