Do you enjoy streamlining processes and keeping complex operations running smoothly?Edgewood Properties Design Services (EPDS) - our integrated architecture, engineering, interior design, and development team -is seeking an Executive Assistant/Bookkeeper to support our director and keep our growing department organized and efficient.You'll be the right hand to the Director of EPDS, managing administrative operations, financial tracking, and vendor relationships.This is a hands-on position perfect for someone who loves variety, enjoys learning new systems, and takes pride in keeping the details straight while supporting the big picture.Up to $80,000 per year based on experienceResponsibilitiesFinancial & Contract ManagementProcess and track work orders for third-party architects, engineers, and design professionalsPrepare invoices and maintain accurate billing recordsManage professional service contracts and vendor documentationRun weekly reports on contract status, job profitability, and vendor performanceSupport annual budget preparation and ongoing financial trackingAdministrative SupportProvide executive-level administrative support to the Director, including correspondence, scheduling, and communicationsHelp implement and maintain our workflow management systemCoordinate department culture initiatives and internal eventsMaintain organized records and tracking systems across multiple platformsProcess ImprovementIdentify opportunities to streamline operations and improve efficiencySupport the adoption of new tools and workflows as the department growsQualifications3–5+ years of experience in executive assistance, bookkeeping, or operations supportStrong proficiency in MS Office (Outlook, Excel, Word) and AdobeExceptional organizational skills and attention to detailComfortable managing multiple priorities in a fast-paced environmentExcellent written and verbal communication skillsSelf-starter who can work independently and take initiativeHigh school diploma required; college degree preferredBonus: Familiarity with architecture, engineering, or design industriesIn return, we offer competitive compensation, along with comprehensive benefits, including medical and dental and vision benefits, life insurance, a 401(k) with company match and a corporate team environment with opportunity of advancement.
