You will collaborate closely with leadership and team members in both the U.S. and Korea, helping strengthen internal workflows and support the company's continued growth.

This is a fully remote, full-time position offering competitive compensation, comprehensive benefits, and opportunities for professional growth within an early-stage healthcare technology company.

What You’ll Do

  • Provide direct executive support to the President of EverEx USA, helping manage priorities, communications, schedules, and day-to-day responsibilities
  • Prepare meeting agendas, presentations, briefing materials, and correspondence while tracking action items and ensuring timely follow-through
  • Serve as a trusted point of contact between the President, internal teams, customers, partners, and leadership in Korea
  • Coordinate executive travel, conference participation, speaking engagements, and expense reporting
  • Track strategic initiatives, deadlines, and deliverables while proactively identifying potential challenges and opportunities for improvement
  • Coordinate employee and contractor onboarding and offboarding, including employment documentation, personnel records, equipment, and system access
  • Support recruiting activities, employee benefits administration, HR documentation, and internal team engagement initiatives
  • Manage the administrative lifecycle of customer, partner, vendor, and contractor agreements, including document preparation, approvals, electronic signatures, and renewal tracking
  • Maintain organized contract records and coordinate with external legal counsel when necessary
  • Support financial operations, including accounts payable and receivable, customer invoicing, payroll coordination, expense reimbursements, and vendor subscription tracking
  • Collaborate with external accountants and bookkeepers to support financial reporting, budget tracking, and month-end processes
  • Maintain corporate records, business registrations, insurance documentation, and other administrative requirements
  • Assist with company compliance initiatives, including HIPAA training coordination and internal compliance tracking
  • Support communication and reporting between EverEx USA and its Korea-based parent company
  • Take initiative to identify opportunities to streamline workflows, improve operational efficiency, and strengthen the overall employee and business experience

What You’ll Bring

  • At least 2 years of experience as an Executive Assistant, Chief of Staff, Operations Coordinator, or in a similar role supporting senior leadership
  • Experience in at least two of the following areas: people operations, contract administration, or financial operations
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities and maintain attention to detail
  • Strong written and verbal communication skills, with confidence interacting with executives, employees, customers, and external partners
  • A self-starter mindset with the ability to anticipate needs, take initiative, and solve problems independently in a fast-paced environment
  • Proficiency with Google Workspace or Microsoft 365 and familiarity with business tools such as DocuSign, QuickBooks, Gusto, or Brex
  • Working knowledge of U.S. employment processes, employee and contractor documentation, and standard business agreements
  • Strong discretion and professionalism when handling confidential personnel, financial, and business information
  • The ability to collaborate effectively with remote and international teams
  • A positive, patient, and proactive approach to working with colleagues and addressing challenges
  • Previous experience in a startup, healthcare technology company, or organization with international operations preferred
  • An interest in digital health, healthcare innovation, and improving operational processes
