Executive Assistant And Office ManagerWe are seeking a highly capable and proactive Executive Assistant and Office Manager to join our Boston team, supporting our C-suite executives in particular the Chief Scientific Officer and Chief Business Officer. This role reports to the Chief Business Officer, with a dotted line to the VP of People. This is a hands-on, in-office role for someone who thrives in a fast-paced startup environment.You will be providing seamless business partnering to ensure leadership team members are executing on driving the company forwards. You will be an integral part of the Boston team's culture: planning team events, managing day-to-day partnership guests, and working closely with our Business Development team, People team and cross-functional partners in both the US and UK, helping shape how executive support, events, and office operations scale as we grow.Key ResponsibilitiesOwn complex, high-volume calendars for senior leadership, coordinating meetings across multiple time zones with speed, accuracy and discretion.Arrange domestic and international travel, itineraries, and expense processes for executives, anticipating conflicts and resolving them proactively.Manage end-to-end meeting and team event support, sourcing and booking world class venues for socials and offsites, as well as owning logistics and agendas.Identify opportunities to streamline recurring processes and take on ad hoc projects as the Boston team scales.Collaborate closely with the People and Operations team and counterparts in the UK office to ensure consistency and alignment across locations and teams.Support BD team on diligence processes with pharma partners, managing communication back-and-forth, tracking follow-ups, and keeping materials organized ensuring speed of comms and processes. Own maintenance and updates of CRM systems, ensuring BD and partnership data stays current and accessible.Required Skills and Experience5+ years of experience in executive partnering, or a similar role within a tech-focused, AI or biotech organization. You have a track record of coordinating complex projects and improving operational processes across multiple teams.Experience working in a scaling startup environment - fast-paced, ambiguous, and prone to changing priorities and directions. You are genuinely energized by that paceProven experience supporting executives or senior leadership, including complex calendar management and global scheduling across time zones and busy schedules.

You have a track record of keeping all stakeholders informed and aligned.Hands-on event planning and logistics experience, you are comfortable running a leadership offsite or a team event from concept to cleanup.Responsive and flexible. Quick to react, follow up, and adapt as things shift throughout the day.Excellent written and verbal communication skills, with sound judgement and discretionHighly organized, detail-oriented, and proactive - you solve problems before they become someone else's problemGenuine curiosity about the science happening in Boston, and interest in being embedded in that communityFluent with scheduling and productivity tools (Google Workspace, Slack, or similar).Advantageous Skills and ExperienceExperience in the life sciences, biotech, or other R&D-intensive industries. Understanding of domains like genomics, bioinformatics, or drug discovery can help you better support our teams (though it's not a strict requirement).Prior experience at a high-growth startup or in scaling operations for a technical team. Familiarity with the challenges of rapid growth and scaling infrastructure or processes would be a plus.Familiarity with modern software and AI tools. You don't need to be writing code, but you should adopt an AI first mindset and we expect everyone at Basecamp Research to be intentional about how they use their time. If an AI agent can do that task, get the agent on it and save your headspace for informed discussions and effective decisions.Excellent communication skills with a talent for working with both technical and non-technical stakeholders. You can interface comfortably with software engineers, data scientists, biologists, product managers, and external partners, translating needs and keeping everyone in sync.A proactive, resourceful, and independent mindset.
