Position Overview

We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to provide comprehensive administrative support to senior leadership. In this role, you will manage executive schedules, coordinate daily business activities, facilitate communication, and help ensure the efficient operation of executive functions. The ideal candidate is resourceful, professional, and capable of handling confidential information with discretion while successfully managing multiple priorities in a fast-paced remote environment.

Key Responsibilities
Manage executive calendars, appointments, and meeting schedules to ensure optimal time management.
Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and detailed itineraries.
Prepare, edit, and proofread reports, presentations, business correspondence, and other executive documents.
Screen, prioritize, and respond to emails, phone calls, and other communications on behalf of executives.
Organize meetings by scheduling participants, preparing agendas, documenting meeting minutes, and following up on action items.
Maintain confidential records, executive files, and sensitive business documentation.
Support strategic initiatives by coordinating projects, monitoring milestones, and tracking key deadlines.
Conduct research, gather relevant information, and prepare reports to support executive decision-making.
Serve as the primary liaison between executives, employees, clients, vendors, and external business partners.
Process expense reports and assist with budget tracking and financial documentation.
Provide administrative support for company initiatives, special projects, and additional assignments as needed.
Perform other executive support duties that contribute to the smooth and efficient operation of the organization.
Qualifications
High school diploma or equivalent required; an Associate's or Bachelor's degree in Business Administration or a related field is preferred.
Previous experience as an Executive Assistant, Administrative Assistant, Office Administrator, or in a comparable executive support role is preferred.
Excellent written, verbal, and interpersonal communication skills.
Strong organizational, planning, and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and Google Workspace.
Ability to prioritize competing responsibilities and consistently meet deadlines.
Exceptional attention to detail with strong analytical and problem-solving skills.
Professional demeanor with sound judgment and decision-making abilities.
Ability to maintain confidentiality and handle sensitive information with integrity.
Self-motivated with the ability to work independently in a remote environment.
