Executive Administrative AssistantRequired Education: • Associate's degree Required Skills, Knowledge, and Experience: • Several years of progressively responsible administrative or executive-support experience • Experience supporting a senior leader, director, executive, or department head • Strong document preparation, proofreading, and business writing skills • Advanced Microsoft Office skills, particularly Excel, Word, and Access • Experience handling confidential records and sensitive information • Strong organizational skills and the ability to manage competing priorities independently • Sound judgment when handling administrative matters and determining appropriate follow-up • Experience coordinating with multiple departments, agencies, organizations, or external stakeholders • The ability to understand and follow detailed written and verbal instructionsJob Responsibilities: • Provide direct administrative support to a department or agency director/assistant director • Manage calendars, appointments, conferences, meetings, and other executive commitments • Coordinate meetings with state officials, public and private organizations, professional groups, and other stakeholders • Prepare, edit, and review correspondence, memoranda, reports, forms, statements, and other official documents • Draft routine correspondence and administrative communications independently • Respond to routine administrative inquiries by phone, email, and other communication channels • Review documents for accuracy, completeness, content, and compliance with established administrative procedures • Research and gather information needed for correspondence, presentations, speeches, reports, and administrative projects • Coordinate with other employees and departments to resolve routine administrative and scheduling issues • Maintain confidential departmental and agency files and records • Perform complex data entry and word-processing functions using Microsoft Office and other software applications • Use Excel, Access, Word, and related applications to organize information and prepare reports and other materials • Organize data and develop effective methods for presenting information to meet department needs • Provide direction, review, or oversight to a small clerical/administrative staff when required • Perform other related administrative duties as assigned**Only those lawfully authorized to work in the designated country associated with the position will be considered.****Please note that all Position start dates and duration are estimates and may be reduced or lengthened based upon a client's business needs and requirements.**
