Executive Administrative Assistant/Program ManagerOdyssey has an exciting opportunity for an Executive Administrative Assistant/Program Manager providing support to the Command, Control, Communications, and Battle Management Division (C3BM).Command, Control, Communications, and Battle Management (C3BM) has been tasked with delivering an integrated Department of the Air Force (DAF) Battle Network providing resilient decision advantage and enabling the USAF, USSF, Joint, and Coalition Force to win against the pacing challenge. C3BM supports execution in many different focus areas. C3BM's main efforts are Architecture and Systems Engineering (ASE), Operational Response Team (ORT), and multiple mission integration teams such as Air, Maritime and multiple acquisitions consisting of both the Advanced Battle Management System (ABMS) and Space.This is a full-time position at Hanscom AFB, Bedford, MA.ResponsibilitiesIn this Advisory and Assistance Services (A&AS) role, you will provide expert-level support to Department of Defense (DoD) programs by assisting government leadership with decision-making, planning, and execution throughout the acquisition lifecycle.

You will apply your technical and/or professional expertise to ensure compliance with applicable policies and regulations, contribute to mission success, and help deliver critical capabilities to the warfighter.Duties to include but not limited to:Provide administrative and operational support to government leadership and acquisition program teams.Maintain leadership awareness of mission-critical issues, priorities, and organizational initiatives.Track and monitor action items, taskings, suspense dates, and program deliverables.Prepare correspondence, reports, briefing materials, and official documents for leadership review and signature.Coordinate and support meetings, conferences, and working groups, including scheduling, logistics, virtual meeting setup, and documentation.Develop and maintain meeting records, agendas, attendance logs, minutes, and action item trackers.Manage leadership calendars, conference room schedules, and organizational scheduling requirements.Support video teleconferencing and online collaboration platforms, ensuring proper setup and execution.Disseminate program policies, guidance, and organizational communications to internal and external stakeholders.Maintain program files, records, and document repositories in accordance with organizational procedures.Assist with workflow management, office operations, and process improvement initiatives.Coordinate, analyze, distribute, and track organizational taskings and responses.Support travel planning, coordination, and execution utilizing the Defense Travel System (DTS).Respond to routine inquiries, answer telephones, and provide administrative customer support.Provide recommendations to improve administrative processes, office efficiency, and organizational effectiveness.Other Job Specific Duties:Review the Chief Engineer's calendar each morning, prepare a consolidated daily schedule, and ensure all required read-aheads are availableManage high-volume executive scheduling across multiple organizations, locations, and time zones, providing real-time deconflictionParticipate in daily leadership syncs to surface hot topics, align calendars, and resolve emerging scheduling conflictsLead weekly C3A (ASE) staff meetings, coordinating inputs, issuing meeting notices, running slides, taking attendance, and tracking action itemsProvide end-to-end TDY travel support including registration, agendas, travel folders, and real-time adjustmentsCoordinate and submit Visitor Access Requests (VARs) for Chief Engineer TDYsBuild, adjust, and reconcile DTS orders and vouchers with accurate cost captureRespond to front-office needs throughout the day, maintaining situational awareness and ensuring the Chief Engineer has necessary information and supportCoordinate with the C3A (ASE) FOG support POC to organize events such as summer outings, Pi Day, and holiday gatheringsManage ASE conference room reservationsUpdate and maintain distribution lists for C3BM and C3AQualificationsCitizenship: Must be a US citizenMinimum Required QualificationsClearance: Must have and be able to maintain a Top Secret level clearance and be currently SCI eligiblePreferred QualificationsEducation: Bachelor's or Master's Degree in a related field with 3 years of experience, 3 of which must be in DoD, OR7 years of directly related experience, 5 of which must be in the DoDTechnical SkillsDoD acquisition program management support across the acquisition lifecycleKnowledge of FAR, DoDI , AFI 63-101/20-101, and related acquisition guidanceProgram risk management and acquisition reportingCost, schedule, and performance managementDevelopment and review of acquisition documentation and milestone packagesExperience supporting IPTs, PMRs, and acquisition reviewsFamiliarity with Agile methodologies, DevSecOps, and cloud-based systemsExperience with acquisition and financial systems, including CCaR, IDECS, EDA, and Microsoft Office SuiteKnowledge of EVM analysis and Integrated Master Schedules (IMS)Interpersonal SkillsStrong written and verbal communication skillsAbility to develop and present briefings to senior leadershipStrong analytical and organizational skillsAbility to manage multiple priorities in a fast-paced acquisition environmentAbility to work independently and collaboratively within Government and contractor teamsAdditional InformationLocation: Hanscom AFB, MA Travel: Travel may be required at the customer's discretionOnsiteCompany OverviewOdyssey is a world-class technical, engineering, and integration company serving the warfighting ecosystem with airborne integration, ISR, C2, and warfighter readiness capabilities.
