This position requires strong judgment, a sense of urgency, and the ability to manage multiple priorities while maintaining professionalism in interactions with executives, clients, and partners.This role is ideal for someone who thrives in structured environments, enjoys solving problems, and takes pride in helping leaders operate efficiently and effectively.Key ResponsibilitiesExecutive SupportManage complex executive calendars, scheduling internal and external meetingsCoordinate travel arrangements including flights, hotels, transportation, and detailed itinerariesPrepare leaders for meetings by organizing agendas, documents, and relevant materialsTrack action items and ensure follow-up on commitments and prioritiesAssist in managing shifting priorities and resolving scheduling conflictsCommunication & CoordinationDraft and edit professional correspondence, emails, and internal communicationsServe as a point of coordination between executives, team members, and external partnersScreen incoming communication and prioritize based on urgency and importanceEnsure timely and accurate communication across stakeholdersOrganization & Process SupportMaintain organized digital filing systems and documentationAssist in preparing reports, presentations, and meeting materialsCoordinate logistics for leadership meetings, planning sessions, and company initiativesSupport project tracking and ensure deadlines are metHelp implement and maintain structured administrative processesConfidential & Strategic SupportHandle sensitive and confidential information with discretionProtect executive time by prioritizing high-value activitiesAssist with preparation for strategic discussions and decision-makingProvide administrative support on special projects and initiativesRequirementsQualificationsHigh school diploma or GED required; associate's or bachelor's degree a plus3+ years supporting executives, business owners, or senior leadershipExperience managing complex schedules and prioritiesExperience coordinating travel and meetingsExperience handling confidential informationExperience working in professional services, construction, logistics, or similar industries is a plus
