A leading global investment firm with nearly $300 billion in assets under management is seeking a long-term contract Executive Administrative Assistant for its Real Estate Legal team. This role supports senior professionals in a fast-paced, transactional environment.
Job Responsibilities
- Provide direct administrative support to a team of five professionals, including a Senior Managing Director.
- Manage complex and frequently changing calendars across time zones.
- Coordinate with deal teams and external counsel for scheduling and logistics.
- Reconcile expenses and process invoices.
- Track critical dates, deadlines, and deliverables.
- Liaise with Legal & Compliance administrative assistants and other support professionals.
- Maintain organized records, filing systems, and document management.
- Assist with ad hoc projects, presentations, and administrative initiatives.
Qualifications
- Minimum 5+ years of administrative experience within a corporate, legal, or real estate environment.
- Experience supporting senior executives at the C-suite or partner level.
- Strong proficiency in Microsoft Outlook, Excel, Word, and PowerPoint.
- Experience with document management systems and e-signature platforms (e.g., DocuSign).
- Familiarity with Concur and experience booking complex travel arrangements.
Compensation
Pay Rate: $60 - $65/hr, DOE
