Events Coordinator
Support the planning, coordination, and execution of executive-level and school-wide events while delivering a high-touch customer service experience to internal and external stakeholders.
Day-to-Day Responsibilities:
- Coordinate logistics for events including receptions, dinners, conferences, seminars, and multi-day programming
- Support attendee management, scheduling, room setup, communications, and vendor coordination
- Assist with onsite event execution, troubleshooting, and stakeholder support
- Maintain event documentation, timelines, and operational tracking
- Manage data entry and logistics within Cvent and related administrative systems
- Coordinate travel-related logistics and act as liaison with travel vendors
- Partner with the Events Manager and stakeholders to improve operational workflows and event scalability
- Provide white-glove customer service to executive-level stakeholders and guests
- Support administrative tasks tied to event operations and communications
Requirements:
- Must-Have Skills/Experiences:
- 2+ years of experience in event coordination, hospitality, administrative support, customer service, or related environments
- Experience supporting events from planning through execution
- Strong organizational and multitasking skills
- Experience coordinating logistics, scheduling, communications, or operational support
- Excellent written and verbal communication skills
- Strong customer service and stakeholder management experience
- Comfortable supporting executive-level stakeholders and VIP guests
- Ability to adapt quickly in fast-paced environments
- Ability to travel between Washington, DC and Baltimore for major events
- Familiarity with Cvent or similar event management systems preferred
- Nice-to-Have Skills/Experiences (NOT required, but a plus!):
- Experience supporting events in higher education, nonprofit, or professional services environments
- Experience with operational process improvement or event scalability initiatives
- Bachelor's degree preferred
- Prior exposure to executive-level events, leadership seminars, or conferences
