Job Description

This position reports to the Member Services Director and supports the planning and execution of professional events for this company and affiliated organizations.

The ideal candidate will have experience supporting events ranging from webinars to multi-day conferences, possess communication and project management skills, and demonstrate exceptional attention to detail. This individual must be highly organized, deadline-driven, customer-focused, and committed to delivering high-quality member experiences.

Hours: Part-time (25-30 hours per week)

ONSITE

Responsibilities:

Event Support: 50%

• Provide support for 6+ conferences, regional meetings, webinars, and plant tours for affiliated organizations.

• Support event planning and execution, including budget oversight, venue selection, vendor coordination, and logistics oversight.

• Coordinate event registration, attendee communications, and onsite/day-of event support.

• Support maintenance of event webpages, marketing materials, and promotional communications.

• Assist with sponsorship and exhibitor fulfillment, communications, and logistics.

• Review attendee feedback and provide recommendations for continuous improvement.

Awards & Competition Coordination & Support: 30%

• Support administration of competition & award programs, including nominations, entry verification, and program timelines.

• Collect and maintain company information, product details, and promotional materials from competition participants.

• Support voting administration, results tracking, participant communications, and winner recognition activities.

• Recommend and implement process improvements to enhance program efficiency and participant engagement.

Database & Member Support: 20%

• Maintain accurate event and member records in organization CRM.

• Assist with data entry, database updates, and record maintenance to ensure data accuracy and completeness.

• Provide administrative support for member communications and outreach initiatives as needed.

Skills and Requirements

  • Proficient in Microsoft Office Suite (including Teams), CRM platforms or similar databases, Constant Contact, Canva, and WebEx.

1+ years of experience coordinating or managing events, or experience in marketing.

-Associate degree, professional certification, or equivalent combination of education and relevant experience.
