Escrow AssistantThe Escrow Assistant provides administrative and transactional support to Escrow Officers to ensure accurate, timely coordination of real estate closings. This role assists with file setup, document preparation, customer communication, and closing support functions. The Escrow Assistant plays a key role in maintaining file accuracy, supporting customer service needs, and ensuring compliance with company escrow procedures and trust accounting standards in a fast-paced environment.Key Responsibilities:Provide direct support to Escrow Officers with file setup, scheduling, coordination, and file monitoringAssist in preparing and coordinating closing transactions between lenders, buyers, sellers, and real estate agentsCommunicate with customers and partners to provide status updates and respond to transaction-related questionsConduct closing support activities, including compiling loan documents and obtaining signatures as neededHandle escalated customer concerns with professionalism and resolution focusProactively identify and resolve transaction issues before escalationReview real estate contracts, lender instructions, and title commitments for completeness and accuracyHandle pre- and post-closing curative matters and assist in clearing title issuesProcess earnest money transactions, including deposits, tracking, and receiptsAssist with funding, disbursement, and balancing files in accordance with trust accounting standardsCheck files for payoffs, assumptions, and lender requirementsVerify commissions and assist with communication to real estate agentsUpload, organize, and maintain documents in ResWare or other escrow systemsProvide backup phone coverage and support front desk operations as neededMaintain accurate and organized electronic files and ensure all final documentation is complete and distributed appropriatelyEnsure compliance with company policies, escrow standards, and trust accounting proceduresInteract and communicate in a professional and effective manner with all levels of team members, leadership, customers, and external partners.Performs other functions as necessary or as assigned.Required Qualifications:High school diploma or general education degree (GED); or equivalent combination of education and experienceMinimum one year of escrow or closing experience preferredWorking knowledge of real estate contracts and escrow processesStrong organizational skills with high attention to detail and accuracyAbility to manage multiple tasks and deadlines in a fast-paced environmentStrong verbal and written communication skillsExcellent customer service and interpersonal skillsProficiency with Microsoft Word, Excel, Outlook, and other Windows-based applicationsPreferred Qualifications:Experience supporting Escrow Officers or closing teamsFamiliarity with escrow/title systems (e.g., ResWare)Knowledge of closing statements, lender requirements, and title commitmentsWork Environment and Physical Requirements:The physical demands described herein are representative of those required to successfully perform the essential functions of this position.
