Executive Secretary to the Elementary School Principal - 12 month position
Start Date: December 14, 2026 to allow for shadowing
Salary Range: $40,000 - $43,000
NATURE AND SCOPE OF JOB:
The Executive Secretary to the Principal provides comprehensive administrative and confidential support to the Principal, ensuring the efficient operation of the school office while serving as a key point of communication for students, staff, families, and the public. The position requires sound judgment, exceptional organizational skills, and the ability to manage multiple priorities while maintaining confidentiality and supporting the overall mission and daily operations of the school.
Qualifications:
- High school diploma or equivalent secretarial training
- 2.Minimum three years experience in a school setting preferred
- 3.Proficiency in the Google platform; knowledge of designated software programs, student information systems, and other appropriate platforms as assigned
- 4. Strong communication and human relations skills
- 5. A highly motivated detail~oriented self~starter who possesses the ability to work in a busy environment with frequent interruptions
- 6.Required criminal history check and proof of U.S. citizenship or resident
- 7.Current residency in New Jersey or an approved residency waiver
TERMS OF EMPLOYMENT:
Twelve month unaffiliated position. Salary and work year to be determined by the board.
PERFORMANCE RESPONSIBILITIES:
- Acts as a secretary to the building principal and assigned administrators performing a wide variety of complex clerical and secretarial duties as well as routine administrative functions
- Establishes and maintains routine and confidential files and appointment schedules for the principal
- Utilizes the District's employee absence management system to ensure absences are filled
- Distributes and manages keys, etc.
- Prepares all correspondence for the building principal
- Provides general support service for teachers, students and parents
- Maintains teacher and support staff absences. Send reports to the Business office and Superintendent's office monthly. Organizes daily and long-term coverages as necessary and appropriate
- Assists, logs in, and directs visitors within their schools
- Answers phones; directing and/or resolving issues
- Maintains continuity in the main office
- Takes a daily lunch count for the building.
- Coordinate and create a graduation program and attend commencement to ensure all is in order. (Middle School only)
- Registers/withdraws students as required; processes related forms and registration packets, follows enrollment procedures, transfer requests, sets up files and secures / forwards student information as required
- Enters staff and student schedules into the student information system
- Maintains report card marking period dates annually in the student information system
- Orders office and teacher supplies. Checks in / distributes office and teachers' supplies
- Types all purchase orders, processes and forwards for payment when completed
- Acts as a resource person to teachers, students, parents, and the general public regarding general and specific information on the policies, procedures, and activities or the assigned facility.
- Prepares, Processes, reviews and verifies various forms, reports, records, and other material for accuracy, completeness and conformity within established standards.
- Maintains record of fire drills and sends bi-monthly reports to the superintendent's office
- Maintains and/or coordinates student permanent records: registers students, ensures all proper paperwork is completed, creates a permanent file, sends for records) forward student records of transferred students
- Distributes incoming mail
- Revises / updates school website
- Prepares for opening and closing of school, maintains a checklist for faculty outlining end of the year responsibilities
- Assists with awards and class events/celebrations.
- Maintains office files
- Directs and assist substitutes as needed
- Prepares Teacher and Parent Handbooks
- Maintains confidentiality as required and appropriate
- Any and all other duties as assigned by the superintendent and his/her designee.
EVALUATION:
Performance of this job will be evaluated annually in accordance with NJ State law and the provisions of the board's policy on evaluations.
