DESCRIPTION
The County of Yolo is recruiting to fill up to twenty-five (25) Elections Aide - Extra Help positions
in Assessor / Clerk-Recorder / Elections Department.
This recruitment will establish an eligible list of candidates for current and future vacancies. This job posting will remain open until the current vacancies are filled. Please note that the posting may close at anytime, without notice.
Position Details
The Assessor / Clerk-Recorder / Elections (ACE) Department is recruiting a team of people with commitment, dedication, and diverse skill-sets to ensure all eligible Yolo County voters have an opportunity to cast a ballot. Under close supervision, an Elections Aide performs routine clerical and manual work in support of Yolo County election activities. Employees in this position facilitate the voting process in a variety of ways, before, during, and after an election, ultimately focused on maintaining the integrity of free and fair elections in Yolo County. Eligible list placement for any "extra help" position does NOT transfer to eligibility in a regular position of the same class.
  • Eligible Lists & Hiring: Applicants who demonstrate the minimum qualifications for this advertised extra help position will be added to an eligible list. In addition to filling the advertised Elections Aide - extra help vacancy(ies), this list will be utilized to fill other Elections Aide - extra help vacancies, as they occur. Candidates will remain on the eligible list until they are considered, or until the list expires after six (6) months. When there is an open position, the hiring department will directly contact candidates referred from eligible lists.
ESSENTIAL FUNCTIONS
The following are typical duties performed by most employees in the Elections Aide class; however, employees may also perform other related duties. Not all duties listed are necessarily performed by each individual employed in the classification.
  • Sorts, counts, files and reviews and proofs Affidavits of Registration, absentee voter applications and ballots.
  • Prepares and boxes election materials, supplies and petitions for transportation, mailing and storage.
  • Inventories election materials in the Elections Division and at other warehouse facilities.
  • Prepares, packs, unpacks, and may deliver election materials to polling places and elections officers.
  • Verifies signatures on petitions and returned absentee ballots.
  • Sorts and files cancelled Affidavits of Registration.
  • Performs occasional data entry of other simple keyboard operations.
  • Proofs various election materials for accuracy and screens telephone calls and provides information where possible.
  • Prepares and labels sample ballots, pamphlets, and state ballot pamphlets for mailing which includes bagging and lifting up to fifty pounds of election materials in mail cages and transports cages to the post office.

MINIMUM QUALIFICATIONS

  • Experience: One (1) year of clerical experience.
    • Substitution: One (1) year of full time business or college education beyond the high school level may be substituted for the required experience. Verification of education is required for substitution.

Verification of Education: Acceptable forms of educational documentation are a copy of diploma (if applicable) or official / unofficial transcripts that list the student's name, institution name, field of study, and date the degree was awarded. For recent graduates who have not received proof of their degree, a letter from the registrar's office stating that all requirements for graduation have been met and listing the field of study will be sufficient proof of graduation. Applicants who possess a degree or completed coursework that is not from an accredited college or university, must submit one of the following:
  1. A written statement from a U.S. accredited university or college that states that the applicant is qualified for entrance to a program of graduate studies for which a degree in a related field is required.
  2. An evaluation of the applicant's degree and coursework equivalency by a private organization that provides foreign credential evaluation services. The evaluation must include a comparison of comparable U.S. courses for content, credit, and grade.
All foreign transcripts or diplomas must be in English. If the institution does not provide these documents in English, the applicant will need to provide a translation which has been done by a professional agency. The County of Yolo will accept education as equivalent to U.S. accreditation from institutions that are listed as members of the International Association of Universities (IAU). You may check for your school by visiting the IAU web site ().
Please Note: Foreign language documents must include a precise word-for-word English translation of all foreign language documents. It is the responsibility of each applicant to prove to the satisfaction of the County that the applicant meets the specific requirements listed on the job announcement for each specific examination. DEFINITION OF "EXTRA HELP": Employment in an approved classification intended to be less than year-round to cover seasonal peak workloads, emergency, vacation and sick relief, or other situations involving fluctuating staffing. Extra Help shall apply to both employment and to the person. As such, Extra Help employees shall not be eligible for holidays, vacation leave, group insurance, or other benefits except as required by law.
