Document Preparation ClerkThis position prepares documents such as brochures, books, periodicals, catalogs, and pamphlets for copying or photocopying. The Document Preparation Clerk cuts documents into individual standardized pages, using a paper cutter or razor knife. Document pages are reproduced as necessary to improve clarity or to adjust the standardized page size according to the limitations of the designated copy machine.
The Document Preparation Clerk stamps standard symbols on pages or inserts instruction cards to notify Duplicating Machine Operator of special handling, prepares cover sheets and document folders for material, and index cards for files, and files folder according to index code and copies priority schedule.Examples of duties supporting the task:Identifying and resolving potential issues within the Document Preparation processReviewing records to determine best preparation practicesEnsuring that each box is properly labeledVerifying that all boxes in multiple-box sets are present prior to processingVerifying Federal Firearms License information to the appropriate batch cover sheet and internal documentationRemoving all non-essential material from required recordsEnsuring the removal of staples and paper clips and the repair of torn pagesMaintaining numeric file with a high degree of accuracyOrdering the contents of each box according to the Document Preparation proceduresMaintaining statistics on total boxes processed on a daily, weekly, monthly, and quarterly basisSecuring, organizing, and sorting all boxes of individual dealer recordsEnsuring all electronic media received in the OBRR is requested, tracked, and updated with the dealer record set during the Document Preparation processUpdating the Warehouse Tracking System with necessary FFL and disposition information, which may include creating box labelsPerforming quality assurance checks of team workloadsAccurately documenting communication details in a logical, organized mannerPerforming record management duties as indicated in the Document Preparation proceduresRequired Qualifications:Ability to work with minimal supervision and follow policies and proceduresExperience in performing work requiring attention to detail and accuracyGood sense of time management and the ability to work under time constraintsWillingness to work as a team playerStrong sense of Customer ServiceUnderstanding of the importance of consistently delivering high-quality workComputer skills, including accurate use of keyboard, familiarity with web browsers and basic Microsoft Office applicationsExperience in identifying and submitting potential problems to appropriate levels of managementAbility to frequently lift up to 40 poundsAbility to perform frequent repetitive motions using fingers, hands, wrists and armsEducation & Specialized ExperienceHigh school diploma or general education degree (GED)Must be able to obtain and maintain MRPT facility credentials/authorization. Note: US Citizenship is required for MRPT facility credentials/authorization at this work location.*Employees will earn H&W dollars per eligible hour (including vacation and holiday up to 40 hours/week). Any remaining health and welfare monies after all applicable deductions would be cashed out to the employee on a 1 pay period lag.Service Contract Act (SCA) Compensation & Benefits:This is an hourly, overtime-eligible position that falls under the Service Contract Act (SCA). In accordance with the Health and Welfare provisions of the SCA, and in addition to your base hourly rate, you may be eligible to receive an additional health and welfare payment for each hour you work to ensure compliance with the minimums set forth by the act.
