The Document Control Specialist supports the organization and maintenance of company documents and records. This position helps ensure documents are accurate, properly organized, accessible, and maintained in accordance with company procedures and applicable standards. The ideal candidate is detail-oriented, organized, and comfortable working with electronic systems and Microsoft Office.
Key Responsibilities
- Assist with maintaining electronic and physical document repositories.
- Review documents for accuracy, completeness, formatting, and required approvals.
- Assist with document numbering, revisions, version control, and distribution.
- Help ensure obsolete documents are removed from circulation and properly archived.
- Maintain document registers, logs, and tracking systems.
- Create Universal Device Identifiers (UDI) as needed.
- Create and maintain product labels.
- Organize and store documents according to company procedures.
- Assist with preparing documentation for internal and external audits.
- Work with Engineering, Quality, Project Management, Procurement, and other departments to obtain and maintain required documentation.
- Help identify document-control issues and communicate them to the appropriate team members.
- Maintain RA/QA procedural training records and the Distributor Portal.
- Assist with other document control and administrative tasks as assigned.
- Perform other duties as assigned.
Qualifications
- Associate or bachelor's degree preferred, but relevant education or experience may be considered.
- Previous experience in document control, records management, administration, or a related field is preferred but not required.
- Strong attention to detail and organizational skills.
- Good written and verbal communication skills.
- Basic to intermediate proficiency with Microsoft Office, particularly Word, Excel, and Outlook.
- Familiarity with document management or file-sharing systems such as SharePoint, Teams, Dropbox, or similar platforms is a plus.
- Ability to follow established procedures and accurately complete detailed tasks.
- Ability to manage multiple tasks and priorities while meeting deadlines.
- Willingness to learn company procedures, systems, and document-control processes.
