The Director in Unites States of America the end-to-end strategy, acquisition, and delivery of patient health records across the United States. This executive role ensures that clinical data acquisition via EHR integrations, APIs, fax, or field teams is highly efficient, secure, and compliant with federal and state regulations.

About the Role

Key Responsibilities

  • Sales and Accounts Management, Exposure in Healthcare, Insurance & Records Retrieval domains. 60% in Sales and 40% in Accounts Management.
  • Strategic Leadership : Develop and execute strategic initiatives for large-scale clinical data acquisition, focusing on rapid turnaround, cost optimization, and process automation.
  • Vendor & Network Management : Negotiate and manage contracts with third-party retrieval vendors, regional networks, and clearinghouses.
  • Compliance & Security : Ensure all retrieval processes strictly comply with US healthcare standards, specifically HIPAA privacy rules, CMS guidelines, and state-specific record release laws.
  • Process Optimization : Identify and remove bottlenecks in provider-level chart retrieval, transitioning manual workflows (fax/mail) to digital EHR interoperability (FHIR/API connections).
  • Cross-Functional Collaboration : Partner with Coding, Quality, IT, and legal departments to ensure retrieved charts are accurately processed for HEDIS, Risk Adjustment, and clinical audits.
  • Analytics & Reporting : Establish and track KPIs (e.g., Cycle time, Cost-per-chart, Vendor SLA adherence) and present quarterly performance reports to executive leadership.

Qualifications

  • Education : Bachelor's degree in Health Information Management (HIM), Business Administration, or Healthcare Administration. Master's degree (MHA, MBA) or clinical credential (RN) preferred.
  • Experience : Typically requires 8 to 15 years of hands-on experience in records retrieval, legal/medical BPO, or sales support. 7+ years of progressive leadership experience in medical record retrieval, release of information (ROI), or revenue cycle operations within the US healthcare market.
  • Certifications : RHIA (Registered Health Information Administrator) or RHIT (Registered Health Information Technician) strongly preferred.
  • Domain Knowledge : Deep understanding of US health payer ecosystems, provider networks, and risk adjustment methodologies.
  • Technical Skills : Proficiency with enterprise EHR systems (Epic, Cerner) and health information exchange (HIE) protocols.
  • Tech Proficiency : Familiarity with Release of Information (ROI) portals (e.g., ChartSwap, Sharecare, CIOX) and proficiency with case management tools and MS Office/Google Workspace.
  • Soft Skills : Exceptional verbal and written communication, the persistence to handle pushback or delays from facilities, and high attention to detail.
