Basic Functions

Under the direction of an assigned administrator, plan, organize,direct, and control Enrollment and Retention Services operationsand activities. Conduct a variety of outreach, recruitment, and newstudent orientation functions to facilitate, enhance, and assuresmooth student enrollment at the College; consult and collaboratewith various departments such as Financial Aid and Office ofCommunications, and constituent groups to facilitate thedevelopment, implementation, and operation of student programs andactivities designed to increase student retention; coordinate printand online communications, department personnel, and information tomeet College enrollment and retention needs.

Representative Duties

ESSENTIAL DUTIES

  • Conduct a variety of outreach, recruitment, and new studentorientation functions such as program advisement, pre-enrollment,orientation, registration activities and support services tofacilitate, enhance, and assure smooth student enrollment at SantaBarbara City College.
  • Oversee and participate in providing information, consultation, and assistance to prospective and current students, parents, and thepublic regarding the College.
  • Consult and collaborate with various departments and constituentgroups to facilitate thedevelopment, implementation, and operation of student programs and activities designed to increase studentretention.
  • Assist in the development and implementation of the Collegemarketing plan as it relates to student outreach and retention,including digital outreach and management.
  • Coordinate marketing activities to enhance student enrollment;oversee and participate in the preparation and distribution of avariety of other promotional and informational materials;
  • Plan, facilitate, and implement large-scale events includingorientations, college fairs and open house events for prospectiveand new students, parents, and community members to provideinformation about the college, application process, supportservices, and programs.
  • Coordinate and ensure accuracy of print and online communicationsand publications, including relevant college webpages, related tocollege outreach and enrollment, and to meet the college'senrollment and retention needs.
  • Train and evaluate the performance of assigned staff; interview andselect employees and recommend transfers, reassignment,termination, and disciplinary actions; assign employee duties andreview work for accuracy, completeness, and compliance withestablished standards and procedures; coordinate, train, andoversee student and hourly workers.
  • Provide leadership and oversight for student peer staff, ensuringeffective support of admissions, records, and enrollment servicesoperations through training, supervision, and continuousdevelopment.
  • Respond to inquiries and correspondence regarding Collegeadmissions, enrollment, programs, services, and requirements; meetwith prospective students and families to provide guidance onenrollment, registration, and transition.
  • Provide leadership and training to ensure timely and accurateresponse to all general information and telephone calls to theCollege related to Enrollment Services.
  • Provide leadership and training to ensure appropriate andstudent-centered referrals to other campus programs, resources, anddepartments.
  • Coordinate and collaborate closely with other programs anddepartments related to outreach and retention support, includingNon-Credit/School of Extended Learning, Dual Enrollment, Admissionsand Records, Academic Counseling, and other educational supportprograms
  • Develop, implement, and conduct recruitment and outreach activitiesat secondary schools; coordinate, arrange, and participate inschool visits and events to recruit students and promote theCollege; prepare and deliver presentations
  • Develop, implement, and conduct recruitment and outreach activitiesat community-based organizations; coordinate, arrange, andparticipate in visits and events to recruit re-entry andnon-traditional students and promote the College; prepare anddeliver presentations
  • Serve as a liaison and coordinate communications, information,programs, and services between personnel, school districts,educational organizations, outside agencies, students, families,and the public; Support positive community relationships byefficiently and professionally managing and resolving issues.
  • Oversee, train, and evaluate in-person, virtual, and telephoneWelcome Center functions and staff;
  • Serve as a member of college-wide committees related to strategicenrollment management; provide meaningful input related tooutreach, matriculation, and retention.
  • Serve as a member of Student Services leadership.
  • Develop, oversee, coordinate, and conduct individual and groupcampus tours and new student orientations for students, families,and other visitors; notify faculty and departments of touractivities and timelines; reserve facilities and ensure theavailability of tour guides.
  • Oversee and participate in the preparation and maintenance of avariety of records and reports related to prospective students,special events, budgets, and assigned activities
  • Responsible for the preparation, development, and management ofmultiple budgets and grants; review and evaluate related budgetarydata; control and authorize expenditures in accordance withestablished limitations
  • Establish and maintain positive working relationships with thelocal service area school districts. Establish networks, rapport,and positive relationships with the communities in theDistrict.
  • Research and investigate and respond to trends in outreach,recruitment and enrollment efforts.
  • Work with Institutional Research and Planning to develop plans toachieve targeted enrollment growth for new and low-enrollment/lowenrollment programs and to address equity gaps.
  • Produce and distribute progress reports on enrollment goals
  • Collaborate in College-wide efforts to promote student success thatis demonstrated by achieving and sustaining retention goals andgraduation rates
  • Act creatively as an individual and in concert with others toinitiate programs and further develop programs that will enable theCollege to meet its strategic objectives for enrollment,persistence, and timely graduation
  • Collaborate with Information Technology to examine, evaluate, andmake recommendations for technological innovations andtechnology-based services. Identify and help procure technology toimprove student engagement, communications, and successinitiatives
  • Establish, monitor, evaluate, and improve processes, procedures,and/or standards, ensuring alignment with College mission, values,goals, and objectives and local, state, and federal laws andregulations
  • Operate a variety of office equipment, including a copier,computer, and assigned software; drive a vehicle to conductwork
  • Attend and conduct a variety of meetings as assigned; develop,implement, and conduct in-services concerning enrollment, outreach,and recruitment functions both on and off campus
  • Sensitivity to and understanding of the diverse academic,socio-economic, cultural, disability, and ethnic backgrounds ofCommunity College Students

Education and Experience

Any combination equivalent to: bachelor's degree with majorcoursework in sociology, psychology, communication, or relatedfield and three years of increasingly responsible experienceworking with College enrollment, recruitment, or related functions,including frequent public contact.
