Office CoordinatorThe Guardian US is seeking an organized, proactive, and detail-oriented full-time office coordinator to support the daily operations of our Washington, DC office. This individual will play a key role in maintaining a welcoming, functional, and efficient work environment by assisting with facilities, editorial and admin support, supplies and event coordination.This role requires three days per week (two in office/one remotely).Location: Washington, DCDepartment: Guardian USReports to: Senior editorial operations managerSalary range: $30-32/hrTerms & Conditions: Part-time, permanent. Three days a week. Occasional early/late and weekend work required.Key responsibilities:Office operations & facilities supportLiaise with building management on facilities-related needs and issuesMaintain office access and safety protocolsCoordinate office improvements, including tech setup and furniture movesManage package deliveries and distributionOrder and organize office suppliesKeep kitchen and common areas tidy and well-stockedAdministrative & editorial supportAssist with setting up interviews and media equipmentCoordinate food orders and prep for in-office meetings and guest visitsSupport calendar management and meeting logistics as neededWelcome visitors and ensure the office is set up for their arrivalAssist with onboarding of new staff: desk setup, phones, office orientation, IT coordinationCreate a DC off diary rota (schedule), maintain it, and coordinate it with the central newsdesk rota.Assist with general administrative office duties and projectsConduct monthly check-ins with desk editors, check on contributor emails.Process desk payments & expenses (training provided)Assist with subscription managementAssist with travel arrangements for staff and freelance contributorsAssist the main DC editor with special events logistics, such as midterm elections, political conferences.Manage DC team resources, such as a central calendar of political, cultural, and media-related events in DC, press contacts and a local guide for office visitorsSkills & experience:Highly organized and reliable, with strong attention to detailGood communication and interpersonal skillsComfortable with basic tech troubleshooting (printers, conference screens, etc)Admin experience in media or newsroom environments a plusSelf-starter with a proactive, problem-solving approachHow to apply:We know there are great candidates who might not check all these boxes or who possess important skills we haven't thought of.
