Assist in invoicing and reporting requirements. Provide assistance, training, coordination of data entry, client file maintenance, and other administrative support to the CHS programs as needed.
Essential Duties and ResponsibilitiesProvide assistance in the process and/or create workflows for data collection and data accuracyProvide assistance in the procedures and processes of the Electronic Health Record System (EHR)Provide assistance to staff in using the EHR system to meet the needs of their program through consultation and meetingsProvide assistance with troubleshooting database issuesProvide assistance in creating database training documents and safety protocolsProvide assistance in ensuring CHS programs and staff are following HIPAA policies and proceduresProvide assistance in quality assurance throughout CHS programsCollect, aggregate, and analyze trends performance improvement data for all department procedures with the goal of improving satisfaction and functional outcomesComplete audits for client files, participant surveys, assessments, and documentationPrepare timely and accurate reports that support CHS programs on a monthly, quarterly, and fiscal year basis and/or as neededPromote a productive working environment and provide support to othersCreate annual data reports for programs and develop user friendly dashboardsAssist in the requirements needed for invoicing and data reportingResearch and review alternative database solutionsIdentify processes for billing integration into current workflowsEnsure program meets health and safety standards and ensure the safety of all clientsTake actions to prevent accidents and respond to injury and signs of illness; ensure emergency procedures are implemented and followedEnsure the front desk has coverage, all clients are greeted when entering the building, and are referred to the correct areaEnsure program updates are effectively disseminated and communicated to Community Health Services teamsAnswer phone calls, check voicemails, complete referral forms, document contact, take messages, and transfer calls to appropriate staffCommunicate with customers, employees, and other individuals to answer questions, disseminate or explain information, assist with requests and address complaintsMaintain close, daily contact with staff, clients, parents, and supervisors to receive/provide information, discuss issues, explain or interpret guidelines/instructions; instruct, and advise/counselUse effective communication and maintain a professional tone in written and verbal communicationWork professionally and productively with minimum supervision and to take initiative on projectsSelf-manage and manage priorities without a lot of oversightPrioritize and complete multiple tasks within expected deadlinesWork with diverse populations in a culturally competent mannerRemain objective in crisis situations and maintain healthy boundaries at all timesAdapt and be flexible; ability to uphold the organization's mission and valuesUse excellent documentation skills with demonstrated ability to write clearly, concisely and descriptivelyMaintain knowledge of administrative and clerical procedures and systems such as managing files and records, following up on phone calls, conducting meetings, completing reports, and tracking dataMaintain knowledge of proper HIPAA and confidentiality regulationsWork cooperatively and positively in a team approach with staff and management personnel; contribute to the quality of a high performing teamUse sound judgment regarding safety; take initiative for problem solvingMaintain proficiency in using a variety of computer software applications, specifically, Excel, Word, Publisher, and OutlookUse strong organizational skills with attention to detail; follow-up and manage demanding workloadUse strong communication skills, both written and verbal, and ability to provide feedback regularlySpeak in front of groups; report on budgets, program outcomes, purchasing, and maintenance needsProvide effective training; use networking skills and establish collaborative relationshipsQualificationsQualificationsMinimum of Bachelor's degree in a related field or Associate's degree with equivalent experienceAt least one year experience working in the non-profit field with knowledge of database systemsAt least one year experience with project coordination and managementValid CA driver's license, reliable transportation, safe driving record with at least two years of driving experience, and current automobile insurance requiredPosition may require standing/sitting for extended periods of time, dexterity of hands and fingers to operate office equipment, reaching overhead, above the shoulders and horizontally, bending at the waist; seeing to review and analyze reports, documents or other reports; hearing and speaking to communicate and provide information to others; speaking to be heard before groups of people; position may require to lift, carry, pull or otherwise move objects between 10-20 pounds
