Job TitleDocument Control SpecialistJob DescriptionEssential FunctionsDocument Management System (DMS) Administration: Manage and maintain the electronic and hard-copy document control system, ensuring all documents are accurately indexed, stored, and easily retrievable.Document Lifecycle Control: Oversee the entire document lifecycle, including creation, review, approval, distribution, revision, and archival/disposal of controlled documents (e.g., policies, procedures, work instructions, forms, specifications).ISO Compliance: Ensure all document control processes adhere strictly to the requirements of the company's certified ISO standards. Participate in internal and external ISO audits as the subject matter expert for document control.Change Management: Process and track all document change requests (DCRs), ensuring proper authorization and impact assessment before new revisions are released. Maintain a comprehensive revision history and audit trail.Training and Support: Provide training to employees on document control procedures and the effective use of the DMS.

Act as the primary point of contact for all document control inquiries.Master Document List: Maintain the Master Document List (MDL) or equivalent register, ensuring it is current and reflects the status and location of all controlled documents.CompetenciesDetail orientationSystem administrationCompliance rigorOrganizational skillsCommunication skillsSupervisory ResponsibilityThis position has no direct reports.Work EnvironmentWell-lighted, heated and/or air-conditioned indoor office, production setting, outdoor/indoor shop environment or enclosed vehicle with adequate ventilation and protection from extreme weather conditions.Outdoors exposed to changing and/or extreme weather conditions (for instance, rain, sun, snow, wind, humidity, etc.).Physical DemandsLight physical activity performing non-strenuous daily activities of an administrative or production/technical nature. Days and hours of work are primarily 8 hours each day, Monday through Friday on a day shift.

This position often requires overtime.TravelThere are no travel requirements for this position.Required Education and ExperienceMinimum of 3-5 years of experience in a dedicated document control role in an ISO-certified environment.Experience with eDMS platforms and compliance requirements.Preferred Education and ExperienceAssociate or Bachelor's degree, preferred.Knowledge of ISO standards and audit processes.Experience supporting multi-site document control programs.Computer OperationsBasic personal computer skillsWork Authorization/Security ClearanceMust be able to obtain TWIC badge (Transportation Working Identification Card)Other DutiesPlease note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities required of the employee for this job.
