Remote Full Time Financial Services

Ollis Wealth Management is an independent wealth management firm headquartered on St. Francis Street in downtown Mobile, Alabama. For over 30 years, our founder has helped individuals, families, and business owners across the Gulf Coast plan for retirement, protect their legacies, and invest with discipline.

We aren’t tied to proprietary products, so every recommendation starts with the client’s goals. Our work spans four connected areas: retirement planning, estate planning, investment management, and tax strategies. We coordinate closely with each client’s CPA and attorney, explain our fees in plain language, and pick up the phone when clients call.

We run our own business the same way we ask clients to run their finances: with clear numbers, good records, and long-term discipline.

About the Role

We’re looking for a Controller to own the accounting and financial reporting for our firm. You’ll be the person who knows where every dollar comes from and where it goes, from quarterly advisory fee billing to the monthly close to the numbers our founder uses to make decisions.

This is a hands-on, high-trust role at an independent firm. You’ll report directly to our founder and work closely with our outside CPA, our compliance partners, and our client service team. There’s no layers of approval and no bureaucracy here. You’ll build and improve the processes yourself, and your work will shape how the firm grows.

The role suits a seasoned accounting professional who likes being both the strategist and the one who gets the reconciliations done. It’s a strong fit if you’ve worked in or around an RIA, wealth management firm, or financial services practice and understand how advisory revenue works.

What You’ll Do

Accounting & Close

  • Own the full monthly, quarterly, and year-end close, including journal entries, accruals, prepaid expenses, and account reconciliations
  • Prepare accurate, timely financial statements (balance sheet, income statement, and cash flow) in accordance with GAAP
  • Maintain the general ledger and chart of accounts, and keep records clean and audit-ready
  • Reconcile all bank, credit card, and operating accounts every month
  • Manage accounts payable and accounts receivable, including vendor setup, payment runs, and collections

Advisory Fee Billing & Revenue

  • Oversee quarterly advisory fee billing, including fee calculations based on client assets, fee schedule maintenance, and billing review before submission to custodians
  • Reconcile advisory fee deposits from custodians against billing records and resolve any discrepancies
  • Reconcile revenue and payouts received through our affiliation with Cambridge Investment Research Advisors, Inc.
  • Track revenue by client household, service line, and revenue source, and report on trends
  • Support accurate fee disclosures in coordination with our compliance partners

Financial Planning & Reporting

  • Build and manage the annual budget, and report monthly on actual results against budget
  • Produce monthly management reports and KPIs that give our founder a clear view of revenue, expenses, profitability, and cash
  • Forecast cash flow and help plan for growth, hiring, and technology investments
  • Analyze firm profitability and recommend ways to improve margins and efficiency
  • Provide financial analysis for strategic decisions, including new service offerings and long-term succession planning

Payroll, Tax & Compliance

  • Oversee payroll processing and benefits administration with our payroll provider, including 401(k) contributions and bonus and profit-sharing calculations
  • Serve as the main point of contact for our outside CPA on business tax returns, estimated payments, and year-end tax planning
  • Manage 1099 reporting, sales and use tax (if applicable), and business licenses and filings
  • Support regulatory requirements related to the firm’s financial records, including information needed for Form ADV filings and regulatory exams
  • Maintain records in line with the books-and-records requirements that apply to registered investment advisers

Controls & Systems

  • Design, document, and maintain internal controls that protect firm assets and ensure accurate reporting
  • Write and update accounting policies and procedures
  • Evaluate and improve accounting systems and workflows, including automation and integrations between accounting, billing, and CRM platforms
  • Manage vendor relationships for accounting, payroll, and billing software

What We’re Looking For

Required

  • 7+ years of progressive accounting experience, including at least 3 years in a Controller, Assistant Controller, or Accounting Manager role
  • Bachelor’s degree in accounting or finance
  • Strong knowledge of GAAP, month-end close, financial statement preparation, and internal controls
  • Experience owning the full accounting cycle for a small or mid-size business with little or no support staff
  • Advanced Excel skills, including pivot tables, lookups, and financial modeling
  • Hands-on experience with QuickBooks Online, Sage Intacct, Xero, NetSuite, or similar accounting software
  • Excellent attention to detail and a track record of accurate, on-time work
  • Clear written and verbal communication, with the ability to explain financial results to non-accountants
  • Strong judgment, discretion, and integrity when handling confidential financial information
  • Comfortable working independently and managing deadlines in a remote environment

Preferred

  • CPA license, or CMA certification
  • Experience at an RIA, wealth management firm, broker-dealer, family office, or financial services firm
  • Experience with advisory fee billing, AUM-based revenue, and custodian reconciliation
  • Familiarity with billing and portfolio software such as Orion, Black Diamond, Tamarac, Addepar, or Redtail
  • Public accounting experience, especially with financial services clients
  • Experience with payroll, profit-sharing plans, and 401(k) plan administration
  • Experience building budgets, forecasts, and management reporting from scratch

  • Paid time off and paid holidays
  • Life and disability insurance
  • Professional development support, including CPA and CMA continuing education and license fees
  • A fully remote schedule with flexible hours
  • Direct access to firm leadership and a real voice in how the business runs

Work Environment

  • 100% remote, open to candidates anywhere in the United States
  • Standard business hours, primarily Central Time, with flexibility
  • Additional hours may be needed around month-end, quarter-end billing, and tax deadlines
  • Occasional travel to Mobile, AL, a few times a year, for planning meetings
