Join us and be a part of our journey.Job DescriptionWe are looking for an organized, inquisitive and proactive contract administrator to assist in managing the lifecycle of service contracts and supporting vendor activities.
This role is essential to ensure all contracts comply with internal policies, track contract status and expiration dates, and coordinate approvals across departments. This role also involves maintaining accurate vendor records, monitoring compliance documents, and serving as a point of contact for vendor inquiries. Strong organizational skills, attention to detail, and proficiency with tools like Excel and contract management systems are essential for success in this position.Key ResponsibilitiesCoordinate with internal departments operations, construction and finance gather required information and documentationPrepare bid packages and support procurement processes by issuing RFQsDraft, review, and revise service contractsMaintain organized, permanent files of all contract documentation and correspondence.Ensure all contracts and purchase order agreements are properly executed and comply with internal policiesTrack contract status, monitor contract expiration dates and ensure timely renewals or terminationsAdminister contracts throughout their entire lifecycle, from execution to closeout or renewal.Approve and manage vendorsMaintain accurate and up-to-date recordsTrack expiration dates for contracts, certificates of insurance, and other vendor documentsEnsure accurate procurement records and contract documentationHelp improve contract templates and streamline workflowsAnalyze procurement and data to identify trends, risks, and cost reduction opportunitiesMonthly reportingProjects as neededWho You AreExcellent attention to detail, especially around document management, compliance tracking, and deadlinesThrives on data, process improvement, cross-functional collaboration and has a strong attention to detailFamiliarity with contract languageProficient in Microsoft Excel and document tracking systemsExperience with industry platforms like Yardi, Procore, or procurement/ERP systems is a plusStrong communication and organizational skills, with the ability to work with multiple teams and vendorsHow To ApplyApply with a copy of your resume.
