Note Finance Collateral & Documentation AnalystThe Note Finance Collateral & Documentation Analyst is responsible for the review, validation, tracking, and custody of loan collateral documentation supporting borrowing base lending facilities. This role performs detailed reviews of legal and collateral documents to ensure accuracy, completeness, and compliance with internal requirements prior to funding and throughout the lifecycle of the loan.The analyst serves as a key control point by validating collateral information against borrowing base reports, loan systems, and supporting source documentation. The position requires strong attention to detail, document management experience, and the ability to identify and escalate exceptions that may impact collateral perfection, lending compliance, or portfolio risk.This is a contract position supporting the Note Finance Operations team.Primary ResponsibilitiesCollateral ManagementReceive, organize, and maintain collateral packages for newly funded and existing loans.Check in and track physical and electronic collateral documents.Maintain collateral inventory logs and tracking tools.Ensure collateral files are complete and properly indexed.Support collateral transfers, releases, and audits.Document Review & ValidationReview and validate documentation including: Promissory NotesTitlesAssignmentsDeedsDeeds of TrustSecurity AgreementsCollateral SchedulesAdditional supporting legal documentsBorrowing Base VerificationReview collateral documentation against Borrowing Base reports.Verify collateral values, counts, and asset information.Confirm pledged collateral is accurately reflected in the Borrowing Base.Research and resolve discrepancies between source documents and system records.Identify missing, incomplete, or inaccurate collateral records.Quality Control & Exception ManagementPerform quality assurance reviews of collateral files.Identify document defects, missing signatures, recording issues, expired documents, and collateral exceptions.Document findings and maintain exception logs.Escalate high-risk collateral deficiencies to management.Assist with remediation of collateral and documentation exceptions.Operational & Administrative SupportUpdate internal systems with collateral and document status.Maintain accurate records supporting audits and examinations.Assist with portfolio reviews and collateral certifications.Support internal and external audit requests.Participate in process improvement initiatives to enhance efficiency and control effectiveness.Required QualificationsEducationHigh School Diploma or GED required.Associate's or Bachelor's degree in Business, Finance, Accounting, or related field preferred.Experience2+ years of experience in: Commercial Lending OperationsMortgage OperationsLoan DocumentationCollateral ReviewTitle ReviewLoan ServicingBanking OperationsSkillsStrong attention to detail.Experience reviewing legal and loan documentation.Ability to identify discrepancies and data quality issues.Strong organizational and time management skills.Proficiency in Microsoft Excel and Outlook.Ability to manage multiple priorities in a deadline-driven environment.Preferred QualificationsExperience with borrowing base lending.Experience reviewing titles and assignments.Experience with collateral custody or vault management.Experience supporting audits, compliance reviews, or regulatory examinations.Financial institution or specialty lending experience strongly preferred.Success MeasuresThe successful candidate will consistently: Maintain accurate collateral records.Identify documentation deficiencies before they become customer or audit issues.Ensure borrowing base collateral matches supporting documentation.Reduce collateral exceptions and outstanding defects.Support audit-ready documentation and operational controls.Process collateral reviews within established service level expectations.
