This is a full-time, in-person position based in our king of prussia, pa office.In this role, you will provide day-to-day administrative support in a technical, project-focused environment.
You will help keep office operations organized, support inspection staff and leadership, and assist with documentation, scheduling, and coordination. The ideal candidate is detail-oriented, dependable, and comfortable working with engineering and construction professionals.Key ResponsibilitiesProvide administrative support to the manager of construction inspection services (pa), including scheduling, correspondence, and meeting coordinationServe as a point of contact for office communications, handling calls, emails, and inquiries professionallyAssist with organizing and maintaining project documentation, correspondence, reports, and recordsAssist in general payroll and invoicing processesSupport onboarding coordination for inspection staff, including paperwork, time sheets, management and tracking of certifications and trainingMaintain organized electronic filing systems to ensure documents are accurate and easily accessibleAssist with preparation of presentations, reports, and other internal materialsCoordinate travel arrangements and logistics for field and office staffManage office supplies, equipment, and day-to-day administrative needsSupport internal record-keeping and documentation processes related to construction inspection servicesAssist with general office coordination and administrative tasks to support team efficiencyThe Minimum Requirements We SeekHigh school diploma or equivalent required; associate or bachelor's degree preferred3–5 years of experience in an administrative or office support roleExperience supporting engineering, construction, inspection, or consulting teams requiredPenndot ecms experience strongly preferredProficiency in microsoft office suite (word, excel, powerpoint, outlook)Proficiency in adobe and/or bluebeam (pdf) preferredStrong organizational and time-management skillsClear written and verbal communication skillsHigh attention to detail and ability to manage multiple prioritiesAbility to work independently and as part of a teamA professional, positive, and reliable work styleA valid driver's license is preferredWhat We Will OfferAn annual salary: $65,000–$85,000Medical, dental, and vision benefits401(k) with company matchPaid time off plus paid holidaysOpportunities for professional growth and career advancement* Actual compensation may vary based on work experience, location, market conditions, education, training, certifications, and other credentials, as well as applicable knowledge and skills.
