Together, we are making a difference, one life at a time.Your Mission in ActionThe Compliance/File Clerk is responsible for filing and auditing unaccompanied children case files, entering and maintaining information and data into the information systems, maintaining well organized files in accordance with program filing and record-keeping standards in accordance with the Office of Refugee and Resettlement (ORR) standards, agency, and licensing standards, and other federal, state, CARF and local regulatory requirements.ResponsibilitiesPerform clerical work pertaining to updating, filing, storing, and locating files, records, and reports to include making copies of information from unaccompanied children files as requestedRegularly audit files to ensure correct placement, legibility, and other proper filing expectations according to program standards, ORR regulations, and other federal, state, CARF, and local regulatory requirementsMaintain confidentiality of all information documented in files; adhere to HIPPA regulationsComplete administrative and clerical duties, such as scanning, faxing, copying, printing, and scheduling meetings and appointments as requestedAnswer multiple phone lines and direct calls to the appropriate department when neededActively participate in the preparation and internal auditing of unaccompanied children case files; ensure all case files are complete, including all the necessary paperwork, and meet ORR and other federal, state, and local regulatory requirements; report any discrepancies or deficiencies to management in a timely manner; provide suggestions for improvements with case file documentation and/or auditingNotify respective departments of deficiencies of audited case filesParticipate in the safe and orderly evacuation of youth and staff during an emergency drill and mandated disasterExhibit professional behavior and a positive attitude with both internal and external clients that reflects positively on the agency and is consistent with agency policies and practicesOther duties and projects as assignedQualificationsMinimum QualificationsHigh School diploma, GED or equivalentMust be 21 years of age or older per licensing requirementsOne (1) year clerical or administrative experienceAbility to work in a fast-paced environment and maintain professionalismSelf-starter with the ability to take initiative and work with limited supervision as well as in a team environmentStrong organizational and time management skillsProficient use of Microsoft Word, Excel, and OutlookBilingual in English and Spanish (based on service population and service area)Preferred QualificationsTwo (2) years of previous clerical or administrative experiencePrior compliance and/or internal company audit experience in a role such as quality assuranceTravelThis position may be required to travel up to 10%Perks at UpbringCompetitive PTO & paid holidaysHealth, dental, vision insurance & more403(b) PlanEmployee Assistance ProgramDiscounted Gym MembershipsPhysical Demands & Work ConditionsThis position requires sitting and looking and using a computer for long periods of timePosition works in a child facility and has constant exposure to childrenPosition requires frequent standing, walking and time in units/cottages which are areas where children resideLift, push, pull, move up to 25 lbs.May be required to apply safety intervention with youth that could weigh over 100lbs.The physical requirements for this position with or without reasonable accommodation are representative of those that must be met by an employee to perform the essential functions of this position successfully.
