Community Life Project Manager / Administrator

The Community Life Project Manager / Administrator organizes, mobilizes, and advances the vision and responsibilities of the Community Life team. This role provides project, administrative, financial, systems, meeting, and internship support that helps the department operate with clarity, excellence, and accountability. This is a full-time, hourly, non-exempt position.

Responsibilities & Duties

Administrative Support

  • Calendars manage the Community Life calendar, scheduling priorities, appointments, preparation, and follow-up
  • Department Meetings coordinate agendas, materials, notes, decisions, assignments, and follow-up for Community Life meetings
  • Communication organize department communication, deadlines, documents, and information so staff members have what they need to execute

Project & Performance Management

  • Projects build and maintain project plans, timelines, owners, milestones, and follow-up for Community Life priorities
  • Dashboard maintain a clear department dashboard that tracks priorities, participation, key measures, risks, and next actions
  • Accountability proactively follow up with owners, identify obstacles, and elevate decisions or risks to the Community Life Co-Directors

Budget & Systems

  • Budget coordinate budget tracking and regular meetings with department leadership
  • Systems Champion serve as the department systems champion for Asana, SharePoint, and Planning Center Online, etc.
  • Standards create and maintain organized files, templates, workflows, permissions, training resources, and system standards

Sunday & Wednesday Responsibilities

  • Dream Team Central oversee the Dream Team Central experience, including environment readiness, supplies, hospitality, communication, and team coordination
  • Float serve as a flexible department resource who identifies needs, solves problems, and supports priority ministry environments

Qualifications

  • At least two years of related project management, administration, ministry operations, or executive support experience preferred.
  • Bachelor's degree preferred.
  • Proficiency with project-management and collaboration tools; experience with Asana, SharePoint, and Planning Center Online preferred.
  • Strong financial organization, documentation, scheduling, and follow-through.
  • Excellent verbal and written communication skills.
  • Comprehensive organizational skills and exceptional attention to detail.
  • Strong analytical, problem-solving, and process-improvement skills.
  • Reliable in prioritizing competing tasks, managing deadlines, and maintaining accountability across teams.
  • Ability to function well in a high-paced and at times stressful environment.
