As a trusted executive, they empower teams, enhance brand visibility, and ensure financial health, enabling attorneys to provide lightning-fast, high-quality services in probate, estate planning, and beyond.

What you will be responsible for

Human Resources

  • Develop and implement scalable HR strategies and technologies to support a rapidly growing firm.
  • Oversee the online presence of all job ads on the company website and all relevant job boards and ensure that the firm is represented accurately.
  • Oversee and optimize the onboarding process to maximize the experience for new employees and impact staff retention.
  • Manage employee relations initiatives such as a monthly Ask Us Anything, performance evaluations, employee maturation, and culture building programs.
  • Oversee employee benefits, compensation structures and payroll systems.
  • Ensure adherence to all employment regulations such as EEOC, ADA, and any other state regulations.
  • Oversee all official training programs for all staff at all levels and maintain a robust staff library for all areas.

Marketing

  • Provide strategic oversight for the marketing team, ensuring alignment of marketing initiatives with the firm's goal of becoming the leading elder law firm in the USA.
  • Collaborate with the marketing team to develop and approve marketing strategies that enhance brand visibility and attract elder law clients.
  • Monitor the performance of marketing initiatives, guiding the team to use analytics for optimizing lead generation and client acquisition.
  • Facilitate alignment between marketing and sales teams to ensure cohesive branding.
  • Approve budgets and resource allocation for marketing campaigns, ensuring cost-effectiveness and alignment with firm priorities.
  • Support the marketing team in identifying partnerships with senior-focused organizations to expand community presence.
  • Provide leadership to ensure marketing activities reflect the firm’s values and strategic growth objectives.

Accounting and Finance

  • Provide strategic oversight to the accounting and finance team, ensuring financial operations support the firm’s revenue growth trajectory.
  • Approve and monitor annual budgets, financial forecasts, and resource allocation to support strategic investments in expansion.
  • Review financial reports (e.g., profit and loss, balance sheets, cash flow) prepared by the accounting team to inform executive decision-making.
  • Ensure compliance with GAAP, IRS regulations, and trust accounting requirements specific to a law firm, in coordination with the accounting team.
  • Oversee the implementation and maintenance of financial systems for efficient tracking of billable hours, client invoicing, and expense management.
  • Guide the accounting team in coordinating with external auditors, bankers, and financial advisors to secure funding or manage financial risks.
  • Provide leadership to ensure accurate and timely tax filings, audits, and regulatory compliance.
  • Support the accounting team in optimizing cash flow and expense controls to fuel firm growth.

Requirements

Who you are

  • Bachelors Degree in Business Administration, Management or related Field; MBA or advanced degree is preferred.
  • 7-10 years of experience in administrative, HR, marketing, or financial management, preferably in a law firm or professional services environment.
  • Proven leadership experience overseeing multiple departments, with a track record of driving strategic outcomes.
  • Strong understanding of Florida employment laws, marketing regulations, and financial compliance requirements.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and a general proficiency with various technologies. Navigating new tools and creating cross functional and scalable systems.
  • Exceptional strategic planning, organizational, and problem-solving skills.
  • Excellent communication and interpersonal skills for staff, client, vendor, and stakeholder interactions.
  • Ability to lead in a fast-paced, client-focused environment while maintaining a people-first philosophy.
  • Adaptability to handle evolving priorities and a non-stuffy workplace culture.

Language Skills:

Must speak English. Must have perfect written and verbal communication skills, ability to pay attention to detail, and the ability to maintain confidentiality.

Physical Requirements:

Prolonged periods of sitting at a desk (6 to 8 hours a day).

Utilizing a computer for extended periods at a time.

Occasional lifting of files or materials up to 20 lbs.

  • Salary will depend heavily on experience.
