Case Administrator

Our client, a leading organization in the financial regulatory industry, is seeking a dedicated and detail-oriented Case Administrator to join their team. As a vital member of the Dispute Resolution Department, you will support the efficient management of arbitration cases, ensuring smooth operations and exceptional service delivery.

The ideal candidate is a proactive professional with strong problem-solving abilities, exceptional customer service skills, and the ability to manage complex caseloads with accuracy and efficiency. Success in this role requires strong communication skills, sound judgment, attention to detail, and the ability to work independently with limited supervision while effectively managing competing priorities.

Job Responsibilities
  • Manage assigned docket of arbitration cases, ensuring all activities proceed accurately and on schedule using the ODR portal and internal electronic docket management systems.
  • Review cases for accuracy, completeness, and compliance with established procedures, proactively resolving any issues.
  • Coordinate communications between parties and arbitrators, acting as a liaison to facilitate resolution of pre-hearing motions and requests.
  • Monitor case deadlines and ensure timely responses of motions and case-related activities.
  • Draft and serve arbitration awards, closing cases with financial accuracy and in a timely manner.
  • Respond to inquiries from parties both orally and in writing, providing exceptional customer service.
  • Provides guidance on arbitration rules and procedures, and advises panel on procedural matters.
  • Monitor post-award activity and maintain accurate case records.
  • Evaluate arbitrator performance, attends hearings as needed, and assists with special projects as assigned.
Qualifications
  • Bachelor's degree and at least 4 years of relevant experience, or an equivalent combination of education and experience; JD strongly preferred.
  • Proficiency with desktop office applications and familiarity with case management, electronic docket management or similar systems highly preferred.
  • Service-oriented mindset with excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple priorities in a highly regulated fast-paced, deadline-driven environment.
  • Highly organized and detail-oriented with the ability to multitask efficiently in a fast-paced environment under tight deadlines.
  • Positive attitude with ability to work effectively in a team environment, demonstrating discretion, sound judgment, and professionalism at all times.
