This multifaceted role requires someone with strong organizational and project management skills, and the ability to multi-task in a fast-paced environment.Job DescriptionResponsibilitiesProvide administrative and office support to a department, service line, or local brokerage services department or specialized teamEnsure that education, credentials and licensing of staff is currentAssist with all aspects of meetings and manage active calendars for a department, service line or local brokerage services department or specialized teamMaintain confidential department records and office files in accordance with internal company proceduresAssist in the creation and/or editing of presentation materials including flyers, leasing proposals, case studies, email blasts, invitations, etc.Utilize standard marketing-approved templates and graphics while assisting in the creation of presentation materials, etc.Proofread and correct spelling, grammatical, and layout errorsCoordinate and assist with collecting, aggregating, and preparing dataUpdate and maintain client databasePrepare expense reports, obtain receipts as needed, and reconcile all credit card chargesAnswer and screen incoming telephone callsSchedule and organize complex calendar activities such as meetings, agendas, luncheon arrangements, travel plans and department activities; work around scheduling conflicts and takes on responsibility for keeping manager(s) on scheduleProvide backup coverage for Office Concierge, when necessaryCode and submit invoices to accountingAssist and support the Operations Team with special projects as requiredAssist with updating eCommunity and/or electronic property listingsUpdate website content, social media, etc.
