Position Overview:
As an Office Manager/Scheduling Coordinator, you will play a crucial role in coordinating caregiver schedules, maintaining attendance records, and optimizing operational efficiency. This position requires a motivated individual who is highly organized, intuitive, and capable of working both independently and collaboratively.
Responsibilities:
- Coordinate caregiver placements to meet client needs effectively.
- Maintain and update monthly schedules for all services.
- Post and fill open shifts promptly and efficiently.
- Communicate regularly with staff regarding scheduling, availability, and assignments.
- Manage phone calls professionally and empathetically, ensuring excellent customer service.
- Document all scheduling activities accurately in our system.
- Assist in screening and selecting caregivers.
- Develop and implement strategies to enhance staff retention.
- Assist with compliance requirements for caregivers.
- Support HR functions, including Benefits, Credentialing, Compliance, and Orientation.
- Ensure adherence to federal and state employment regulations, including I-9 and Wage Theft Protection Act.
- Aid in the annual benefits open enrollment process.
- Maintain confidentiality and privacy with respect and dignity.
- Provide support to the team as needed.
Skills and Qualifications:
- Fluent in conversational Spanish.
- Previous experience in scheduling preferred.
- Strong customer service skills, particularly over the phone.
- Proficient in computer applications.
- Exceptional organizational abilities and attention to detail.
- Ability to thrive in a fast-paced environment and manage deadlines effectively.
