We specialize in restoring homes and businesses after fire, water, mold, and storm damage. We are looking for a Bookkeeper/Intake Coordinator who will be the first point of contact for our customers and the backbone of our office operations.
This role combines bookkeeping, job intake, scheduling, and customer communication.Front Office and IntakeAnswer all incoming calls in a professional and caring mannerGather all required information from insurance carriers and homeowners when new jobs are receivedEnter new jobs accurately into our CRM systemSchedule estimators for property inspectionsTake detailed messages and ensure they are entered into the CRM and routed correctlyFollow up with callers to make sure their questions are answeredProvide excellent customer service to homeowners during stressful situationsBookkeeping and Office AdministrationManage all phases of job costingMaintain accurate financial and job recordsUse QuickBooks Online for daily bookkeeping tasksPrepare and process vendor and subcontractor paymentsReconcile bank accounts and prepare depositsTrack work in progress and job cost reportsReview and correct cost variancesCoordinate accounting records with CPAPrepare monthly sales reports for ownershipMaintain organized digital and paper filing systemsAssist with collections and customer billing questionsWhat We Are Looking ForExperience with QuickBooks Online is required. Strong attention to detail and accuracy. Ability to multitask and prioritize in a fast-paced environment. Excellent phone and communication skills. Comfort working with both numbers and people. Professional, dependable, and self-motivated.
