Billing CoordinatorCozen O'Connor is seeking a highly organized and detail-oriented Billing Coordinator to join the Firm's Finance Department. This is a hybrid position based in our Philadelphia office and offers an opportunity to play a critical role in supporting the Firm's billing operations, client service, and revenue cycle management.ResponsibilitiesPrepare and distribute monthly pre-bills and ad hoc billing submissions in accordance with client and attorney requirementsReview and process narrative revisions, time adjustments, and cost corrections to ensure billing accuracy and complianceGenerate and finalize client invoices in a timely and accurate mannerPrepare LEDES and other electronic billing file formats to meet client-specific e-billing requirementsSubmit invoices through various electronic billing platforms and vendor portalsMonitor invoice submissions, resolve transmission issues, and ensure successful delivery and acceptance of e-billsMaintain accurate records of client billing guidelines, outside counsel guidelines (OCGs), and billing requirementsEstablish and maintain client-specific rate structures, exception rates, and billing arrangements within the Firm's financial systemsManage an assigned portfolio of attorneys and clients by maintaining current billing preferences, proforma status, billing schedules, and special client requirementsPartner with attorneys, legal assistants, and finance team members to address billing inquiries and support the timely completion of billing activitiesIdentify and escalate billing issues that may impact invoice submission, client compliance, or revenue realizationQualificationsDemonstrated ability to manage a high-volume workload, prioritize competing deadlines, and adapt to changing business demandsProficiency in Microsoft Office Suite, including Microsoft Excel and WordExperience with legal billing software, preferably Aderant, and electronic billing platforms is strongly preferredStrong written and verbal communication skills with exceptional attention to detail and accuracyAbility to work independently while collaborating effectively within a team environmentProven organizational, analytical, and problem-solving skillsAbility to maintain professionalism and provide exceptional service when interacting with clients, attorneys, paralegals, and administrative staffHigh school diploma or GED requiredPrior law firm billing experience preferred. The anticipated salary range for this position is $60,000 to $85,000. This range represents the Firm's good-faith estimate of potential compensation at the time of posting.
