Alston & Bird LLP is hiring a Billing Coordinator in its New York office. The role requires at least 2 years of experience in legal or professional services billing and will support the Finance team with client invoicing, electronic billing, and related reporting.
Responsibilities
- Maintain accurate client, attorney, and matter data in the billing system.
- Revise prebills per billing attorney instructions, post approved changes, and generate client invoices.
- Audit final invoices before client distribution to ensure compliance with firm policies and ethical standards.
- Track and manage prebills for timely review and processing.
- Post finalized invoices to the accounting system and store supporting documentation in iManage.
- Manage complex, high‑volume billing for assigned clients, attorneys, and practice groups.
- Configure, maintain, and manage electronic billing profiles for e‑billing vendors, including new matter setup, timekeeper and rate approvals, and task/ activity codes.
- Collaborate with Financial System Specialists to fulfill advanced reporting and analytical requests.
- Oversee all billing activities for assigned electronic billing clients and monitor accounts receivable, unbilled time, and costs.
- Consult with attorneys and administrative assistants to identify solutions and best practices for meeting billing requirements.
- Use reporting tools and Microsoft Excel to respond to information requests from clients and attorneys.
- Deliver professional customer service and maintain positive relationships with internal and external contacts.
- Maintain strict confidentiality of all financial and client information.
- Perform special projects and other duties as assigned.
Qualifications
- Bachelor’s degree preferred.
- 2+ years of experience in legal or professional services billing.
- Knowledge of Aderant Expert and Microsoft Excel.
- Strong analytical skills with exceptional attention to detail.
- Proven ability to resolve complex billing issues while adhering to firm policies.
- Excellent organizational skills and the ability to manage high‑volume work in a fast‑paced environment.
- Strong written and verbal communication skills.
- Ability to maintain strict confidentiality of financial and client information.
- Ability to work effectively under pressure and collaborate with team members and finance management.
Required Skills
- Advanced electronic billing expertise across multiple e‑billing platforms.
- Proficiency with Aderant Expert legal billing systems.
- Advanced Microsoft Office skills, especially Excel (VLOOKUP, pivot tables, data analysis).
- Demonstrated commitment to delivering a high level of customer service.
- Strong relationship‑building skills within a team‑oriented environment.
- Thorough understanding of firm and finance department policies and compliance.
