This person will be responsible for coordinating all client invoicing activity in a timely and accurate manner, globally.ResponsibilitiesPrepare, compile and distribute monthly bills to clients for services provided, in a multi-entity, multi-currency, global environmentReview contracts and engagement letters to verify client guidelines, billing rates, fee arrangements and other detailsTrack all invoice activity in relevant systems. Maintain accurate records and management reportsCommunicate clearly and succinctly with clients, vendors, and business leaders including Managing Directors, CFO and accounting teamReview accounts and balances, identifying any potential inconsistenciesAccurately input incoming payments and revise open invoices as required by the businessAssist with A/R reporting and collections as neededIssue credit memos as neededAccount for discounts, split billing and other unique billing situationsSet up new clients and engagements in accounting systemProvide timely solutions and answers as issues or questions ariseAssist other members of the Finance & Accounting team in preparation for close, audits, board meetings, and other eventsQualifications2-3+ years of professional work experience in cash application and collectionsUndergraduate or Associates degree in Accounting or Finance preferredStrong knowledge of accounts receivable function and standardsAttention to detail and ability to perform data entry with a high degree of accuracyStrong Microsoft Office skills (e.g., Word and Excel)Experience working with enterprise financial applications – Workday preferredStrong communication skills / customer service mindsetComfortable working within deadlines and timelinesWillingness to adapt and adopt new processes and functionsOutstanding written and oral communication skills, ability to express complex situations clearly and succinctlyPrior experience in a similar role within a professional services business is required, preferably within a law firmFamiliarity with Time & Expense contracts, percentage billing, and billing multiple parties on a single invoice highly preferredAuthorized to work in the US with no need for sponsorship in the futureSecretariat is an equal opportunity employer.
