Bilingual (Spanish) Office Manager, School-basedKIPP Chicago seeks an experienced individual for the position of Office Manager. The OM is the face of the school and delivers first-class customer service to all constituents in the building, including students, parents, staff, and guests. The Bilingual OM also holds a unique role as a key Spanish language communication lead for the school's operations team with our Spanish-speaking families.
The OM's primary responsibilities are to operate a welcoming and efficient main office, to coordinate student enrollment and attendance, and to provide daily support to teachers and the school's leadership team. The OM will report to the school's Director of Operations.ResponsibilitiesCommunicate effectively in Spanish and English with students and familiesTranslate weekly newsletters and family communication in accurate written SpanishCreate a neat, welcoming, and organized office environmentWelcome parents and visitors, maintain visitor logs, and respond to visitor & parent requestsEnsure all visitors are accounted for in the buildingAnswer phones, redirect inquiries as appropriate, and relay messages to staff in a timely mannerOversee student attendance: process late arrivals, communicate with teachers and school leadership re: student absences, call families of absent students, ensure attendance is accurately logged in PowerSchool and IMPACT student information systems each day, and process early dismissalsCoordinate new student enrollment: process incoming applications, send acceptance/waitlist letters, manage waitlist, and assist parents with online enrollmentMaintain teacher work room and ensure that copiers/printers are in working orderMaintain school supply closet and assist with inventory controlProcess and fulfill staff supply requestsReceive, distribute, and prepare incoming/outgoing mail and shipmentsAssist with coordination of school eventsAssist with production and distribution of memos & newslettersMaintain complete sets of all parent and staff formsOrder and distribute school uniforms and assist with inventory controlCoordinate student health services: monitor student health and safety for any unusual/troubling trends, coordinate with site nurse to ensure that students receive appropriate careQualificationsOral and written fluency in Spanish, as well as EnglishA minimum of two years school administrative experienceAbility to work 50 hours/week in person, 7 AM - 5PM at school location.Experience with IMPACT SIM preferredExcellent oral and written communication skillsExcellent organizational skills and detail orientationStrong typing and technology skills, specifically with Microsoft Office and Google DriveEvidence of strong interpersonal skillsEvidence of personal initiative and follow throughDemonstrated passion for and commitment to the KIPP missionAt least two years of college, BA preferredAbility to lift 30 lbs. unassistedCleared CPS background check & Faith's Law Attestation before start of employmentCompensation and BenefitsHourly rate is based on experience related to role and responsibilities; overtime rate applies to 10 hours worked over 40 hours each week.Contributions to 403b retirement planCompetitive rates for medical insurance and short-term disability insurance.
