Production Assistant for Berklee PresentsThe Production Assistant for the Berklee Presents production team will have the opportunity to actively engage in the process of mounting a live interdisciplinary student concert from start to finish. Reporting to the Senior Concert Producer, this role supports a range of administrative, operational, and cast communication activities across the pre-production, production, and post-production phases. The Production Assistant will help to enable a smooth work-flow and organization of team files and shared drive databases, and act as a point of contact within the team for queries and administrative needs of cast members. They will assist in backstage management during rehearsals and concerts, ensuring that everyone is ready for curtain and in the wings in time for their entrances. They will oversee the Berklee Presents recording studio booking calendar and support the Berklee Presents team and recording engineers with the coordination and scheduling of sessions. The Production Assistant will also assist with rehearsal room set-up and breakdown, virtual auditions, in-person casting calls, and production meetings. This role helps to create a safe and positive environment for students to achieve their musical and creative potential and ensures that each student has an exceptional musical and artistic journey. The ideal candidate must be able to work in a fast-paced and energetic team, and have a good knowledge of contemporary commercial music. They must also model the values of teamwork, respect, and self-confidence.Hours are varied depending on the assigned project, but you must be consistently available for rehearsals on a Thursday evening during the Fall and Spring semester from 6:00pm-11:00pm, several Friday evenings from 5:00pm/6:00pm-11:00pm, and a few Saturday day rehearsals for full cast run throughs in B41 (150 Mass Ave - multipurpose room). Specific dates for full-cast rehearsals are TBD, but will be shared prior to the start of the first rehearsal in Fall semester. Must also be available to work several evenings during the "BPC Tech Week," and on the night of each production. Additional administrative pre-production work will be assigned, and can be completed remotely on a more flexible schedule.Responsibilities:Support the Berklee Presents production team in performing numerous tasks as needed including distributing production schedules and setlists, set-up and break down rehearsal rooms spaces, print and distribute musical charts, and oversee call times to ensure everything runs smoothlySend regular email updates, reminders, and notes to student cast members and the Berklee Presents team with the understanding of knowing who the audience is, and tailoring communications accordinglyHelp the team maintain cast production sheets in GoogleDrive, including cast availabilities, relaying important messages about absences and subsAid the Assistant to the Arranging Supervisor to maintain an online, complex scheduling sheet capturing arrangers and cast member rehearsal conflicts, including any special accommodationsTake and disseminate rehearsal notes within the Berklee Presents team as directed by the ProducerHelp with cast wrangling and traffic backstage and in the green room during rehearsals and the run of the showAssist with the coordination of auditions and adjudicator materials in both virtual casting and live callback settingsOversee the Berklee Presents recording studio booking calendar and session logSupport the Berklee Presents team and recording engineers with the coordination and scheduling of sessionsAssist the Producer in creating the working draft of the concert program, including the correct instrumentation, hometown listings, and other key informationHelp to promote call-to-action campaigns flyers around campus for auditions and student engagement opportunitiesCoordinate audio and video assets within GoogleDriveAs needed, support the Assistant to the Arranger Supervisor to distribute and collect scores and parts during rehearsals and performances, ensuring correct versions are being usedHelp the Assistant to the Arranging Supervisor in the coordination, organization, and dissemination of the music library in Dropbox, and when needed, make hard copy versions using the printing facilities in the Berklee Presents WorkstationSupport the Berklee Presents team's common mission to create a safe and inspiring environment for students to achieve their musical and creative potential, and promote diversity, equity, inclusion, and belongingAssist with general administration tasks for Berklee Presents production team on an-needed basisMay work occasional prolonged or irregular hours, especially in the lead up to performancesRequired Skills:Extremely well-organized and detail orientedStrong time management skills, work well under pressureReliable, punctual, and diligentReading and writing music notationSolid notation software skills in Finale.
