Primary Purpose of Department: To provide world-class facilities service in the areas of financial/budget management, business analytics, process improvement, business operations, quality assurance. customer and workforce experience.
Primary Purpose of Position: The position will lead and facilitate FM-wide SLA development efforts involving multiple operational units and campus partners to define service expectations, resource requirements, financial models, and performance measures. In addition to overseeing the full lifecycle of FM contracts, the position will support strategic alignment between customer expectations, operational capacity, fiscal planning, vendor accountability, and service delivery outcomes. It will serve as a central coordination point across all Facilities Management units including, Fiscal Operations, Performance & Analytics, Maintenance Ops & Engineering, Environmental & Campus Operations as well as campus partners including Risk Management and Materials Management, to support institutional compliance, financial stewardship, warranty visibility, insurance claim coordination, and continuous process improvement. The role also provides analysis and recommendations to FM leadership, including the CXO and Senior Director, to support decision-making related to contracts, service delivery, and operational performance.
Summary of Position Responsibilities
- Lead and facilitate the strategic development, definition, and expansion of Facilities Management SLAs across the university ecosystem.
- Govern and maintain FM institutional contract frameworks, standards, and compliance mechanisms to ensure consistency and quality.
- Partner closely with the Chief Experience Officer (CXO) and Senior Director, serving as the subject matter expert to guide high-level service delivery decisions.
- Direct the execution, renewal, amendment, and closeout strategies for the comprehensive FM contract portfolio, totaling $2M+ annually.
- Serve as the primary departmental liaison to Materials Management to ensure organizational alignment and compliance.
- Govern vendor performance monitoring systems, aligning third-party expectations with strict FM/institutional service commitments.
- Govern the procurement and billing lifecycles for all FM contracts; oversee the requisition, payment approval, and reconciliation processes within university financial systems to ensure absolute fiscal integrity.
- Establish and maintain the central contract database and executive dashboards (e.g., Smartsheet/Excel) to provide leadership and stakeholders with real-time visibility into portfolio performance, compliance metrics, and key data trends.
- Serve as a strategic peer to the Director of Asset Management and partner with Risk Management to coordinate contract-related claims, liability insurance, warranty visibility, and legal disputes.
- Proactively promote the benefits and outcomes of contract programs to enhance departmental visibility and credibility; maintain and enhance professional relationships across campus
Minimum Education/Experience
Bachelor's degree in Business Administration, Public Administration, Finance, or equivalent combination of training and experience; one year of experience related to the area of assignment; or an equivalent combination of education and experience.
Preferred Education, Knowledge, Skills and Experience
- Experience in a higher education environment.
- Three (3) or more years of progressively responsible experience in contract administration, procurement, facilities management, business operations, finance, or a related field.
- Experience with budget management, cost recovery programs, internal billing, and financial reporting.
- Experience using enterprise financial, procurement, and work management systems such as Banner Finance, etc.
- Experience managing service contracts, vendor relationships, and performance-based agreements.
Preferred Certifications/Licenses
Professional certifications such as Lean Six Sigma, APPA credentials, or similar certifications are preferred.
