Position OverviewReporting to the Project Manager (and supporting the CEO as needed), the Associate Project Manager assists in the planning, coordination, and execution of projects from concept through completion. This role is designed for a developing project manager gaining hands-on experience in fabrication-based projects, including retail build-outs, special events, staging, theater, and fixture and furniture production.The Associate Project Manager supports client communication, internal coordination, scheduling, budgeting, and documentation while progressively taking ownership of smaller projects or defined scopes within larger projects.Key ResponsibilitiesProject Support & ExecutionAssist Project Managers with managing projects from kickoff through completionTrack tasks, milestones, and deliverables across assigned projectsIdentify potential project risks or production challenges and escalate proactivelyManage smaller projects or defined project scopes with increasing independenceClient & Communication SupportSupport client communications, including meeting notes, follow-ups, and status updatesHelp ensure a consistent, professional client experienceCoordinate communication between internal departmentsSite Visits & DocumentationAttend site visits as required and document venue conditions and logistical detailsOrganize and maintain project documentation, drawings, schedules, and change logsBudget & Schedule TrackingAssist with tracking project budgets, labor hours, and expensesHelp maintain production schedules and crew calendarsSupport purchase orders, vendor coordination, and expense reconciliationFabrication, Installation & Logistics SupportAssist with coordination of in-house fabrication and external vendorsSupport installation, load-in, and load-out logistics as neededHelp ensure production quality, accuracy, and timeline adherenceMeetings & Team CoordinationParticipate in pre-production, kickoff, and internal alignment meetingsTake meeting notes and track action itemsSupport cross-functional team coordinationPost-Project Wrap-UpAssist with post-event reconciliation of materials, tools, and inventorySupport project close-out documentation and reportingSafety, Compliance & CultureFollow all company safety, quality, engineering, HR, and finance proceduresSupport company culture, values, and initiativesMaintain professionalism on job sites and with clientsAdditional ResponsibilitiesPrepare reports and documentation as requestedSupport productivity goals and continuous improvement effortsParticipate in training and professional development opportunitiesQualifications2–4 years of experience in project coordination, production, fabrication, events, construction, or related fieldsBasic understanding of fabrication, construction, or production workflowsAbility to read and interpret drawings, blueprints, or shop drawings preferredStrong organizational skills with attention to detailAbility to manage multiple tasks and deadlines in a fast-paced environmentWillingness to travel and work nights and weekends as neededFamiliarity with SketchUp, Adobe Illustrator, CAD, or similar software is a plusOSHA 10 Certification is a plus or willingness to obtainStrong written and verbal communication skillsEagerness to learn, take initiative, and grow into a leadership roleBenefitsCompetitive SalaryBenefit EligiblePaid Vacation / PTO
