Associate For Administration

The University of Arkansas Division of Agriculture (UADA) is seeking an organized, experienced Associate for Administration to support the Associate Directors of the Arkansas Agricultural Experiment Station (AAES), the research arm of the Division of Agriculture. The position provides administrative and operational assistance to the Associate Directors and to AAES-affiliated units, programs, facilities, centers, research stations, Research and Extension Centers, directors, coordinators, and personnel whose work intersects with AAES.

The successful candidate will be detail-oriented, collaborative, personable, service-oriented, and able to work independently, manage deadlines, solve problems, communicate clearly, build positive working relationships, and learn new software and administrative systems.

Key duties include scheduling meetings, planning travel, submitting expense reports, coordinating commodity board proposals and reports, supporting building access processes, organizing grant-writing workshops, maintaining records and communications, assisting with department or program review coordination as needed, and addressing routine and impromptu administrative needs while maintaining confidentiality and supporting compliance with applicable Division and University policies.

The position collaborates with the Executive Assistant to the Director of AAES, the Associate Director of Agriculture for the Cooperative Extension Service in Little Rock, research station and Research and Extension Center directors and administrative assistants, department assistants and administrative managers, faculty, staff, students, board representatives, and other internal and external partners.

This position is an on-site position based in Fayetteville, Arkansas, and is not eligible for remote work.

Qualifications

Minimum Qualifications

  • Bachelor's degree from an accredited institution of higher education.
  • Administrative support experience in an office, academic, government, nonprofit, or business setting.

Preferred Qualifications

  • Experience with internal UADA and UA software systems: Workday, InfoReady, OneDrive, SharePoint, Streamlyne.
  • Minimum of four years of relevant administrative support experience, preferably supporting senior administrators, directors, faculty, or office operations.

Knowledge, Skills, Abilities

  • Strong organizational, time management, and attention-to-detail skills, with the ability to prioritize requests, manage deadlines, and follow through.
  • Sound judgment, discretion, and confidentiality when handling sensitive personnel, financial, proposal, and administrative information.
  • Excellent oral and written communication skills, including proofreading, professional correspondence, and communication with diverse audiences.
  • Collaborative, personable, and service-oriented approach to internal and external relationships.
  • Strong problem-solving skills, adaptability, initiative, and ability to improve administrative processes.
  • Strong computer skills, including Microsoft Office Suite and the ability to learn new software, shared digital platforms, administrative systems, and approved emerging tools.
  • Ability to organize, maintain, and archive electronic records, forms, reports, communications, and process documentation.
  • Ability to work independently on routine administrative details and complex process coordination.
