Position Purpose
The Associate Director is responsible for the management andoperations for all estate and trust administration activity,planned and complex gift administration, events, and other keyoperational functions for the Office of Planned Giving at DartmouthHealth and the Geisel School of Medicine. Reporting to theDirector, Planned Giving, the Associate Director will advisefrontline fundraising colleagues and leadership on outreach andstewardship to donors, executors, and advisors.
The Associate Director will also manage a comprehensive marketingprogram to increase planned gifts to Dartmouth Health and theGeisel School of Medicine. The Associate Director will develop astrategy for and implement an annual calendar of print and digitalappeals, including website administration.
The Associate Director will serve as a key partner to all plannedgiving allied professionals, including attorneys, financialadministrators, trustees, and philanthropic partners. The AssociateDirector will develop a program to build relationships with plannedgiving allied professionals and will be the primary contactresponding to client inquiries. These partnerships will focus oneducating local wealth advisors on DHMC and system memberphilanthropic priorities to help their clients make decisions onwhere their philanthropy could positively impact thecommunity.

Experience
- 5+ years of related professional experience in non-profitfundraising
- Demonstrated experience in planned giving, with experience inestate law preferred.
- Demonstrated project management experience.

- Accuracy and attention to detail

Key Accountabilities
Operations
- Prepare, proof, and execute gift calculations, bequest andtrust language, and participate in planned gift discussions withfrontline staff and advisors.
- Draft and maintain suggested bequest language templates andplanned gift agreements for frontline officers.
- Advise fundraisers on planned gift strategies andadministration to aid in the solicitation of planned gifts.
- Serve as a secondary point of contact for establishing new lifeincome gift arrangements, such as charitable gift annuities, pooledincome funds, and charitable trusts.
- Communicate with life income gift recipients in connection withtheir accounts, e.g. change of address, bank info, new beneficiaryinformation. Manage the annual tax reporting process.
- Act as the primary lead in maintaining and ensuring data, donorinformation, and gift details are accurate and up-to-date in boththe electronic database and physical hard file, while ensuringcompliance with organizational procedures and financial and legalrequirements.
- Serve as an advisor for Dartmouth Health member hospitals asthey facilitate planned gifts to their respectiveinstitutions.
- Engage appropriately, respectfully, and collaboratively withcolleagues internally and across Dartmouth Health and the GeiselSchool of Medicine at Dartmouth
- Proactively participate in professional developmentopportunities to increase understanding of planned and complexgifts.

Trust and Estate Administration
- Independently manage a portfolio of active estates and trustsscheduled to make a distribution to the Geisel School of Medicine,Dartmouth Health, and Dartmouth Health member hospitals over a12-18-month cycle, as well as select donors and alliedprofessionals.
- Coordinate with attorneys, trust officers, and estate executorsto move estates through the probate, distribution, and settlementprocess in a timely manner
- Function as a point person for filing claims for inherited IRAsand other accounts, including regular follow-up withinstitutions.
- Manage planned giving acknowledgments and thank you notes toensure that executors or family members are thanked on a timelybasis.
- Oversee management of estate files and establish action plansfor each open estate.
- Attend regular office-wide meetings and regularly update andreport on the active trust and estate pipeline. Carry out assignedaction items or follow-up tasks in a timely manner.
- Serve as an advisor and administrator for Dartmouth Healthmember hospitals, facilitating trust and estate distributions totheir respective institutions.

Marketing & Communications
- Works independently and with partners to implement a robustmarketing program for the Geisel School of Medicine, DartmouthHealth, and Dartmouth Health member hospitals.
- Develop a strategy and implement an annual calendar of plannedgiving appeals for the Geisel School of Medicine and DartmouthHealth.
- In concert with Dartmouth Health member hospital fundraisingstaff, develop a strategy and implement an annual calendar ofplanned giving appeals for their respective programs.
- Works with Geisel School of Medicine, Dartmouth Health, andDartmouth Health member hospitals’ communications staff and outsidevendors to oversee the design, printing, production, and mailing ofprint and digital appeals in an accurate and timely fashion.
- Coordinates multi-channel marketing campaigns that integrateelectronic communications and direct mail appeals.
- Monitors production schedules and project timelines.
- Coordinates with Geisel School of Medicine, Dartmouth Health,and Dartmouth Health member hospitals’ communications staff toensure consistency with institutional messaging and branding.Monitors leadership messaging, institutional news, and stories, andstays abreast of institutional initiatives.
- Partners with outside vendors to analyze responses to appealsand ROI . Analyzes and summarizes data and reports on thisinformation regularly, recommending changes in strategy asindicated by appeal results.
- Actively manages Geisel School of Medicine, Dartmouth Health,and Dartmouth Health member hospital websites, collaborating withkey vendors and internal staff on routine web management.

Event Management
Plan the annual legacy society event to steward existing plannedgift donors and to solicit new donors.
In partnership with Events, execute all logistical aspects of theannual legacy society event, including but not limited to eventcommunications, run of show, planning, menu, and staffing.
Create a robust events program for legacy society members byinviting donors to attend Medical & Healthcare Advancementevents, Dartmouth College events, and Dartmouth Health memberhospital events.
Identify opportunities to increase stewardship and cultivationevents for planned giving donors.

Planned Giving Allied Professionals Program
- Create a network of estate planning professionals, financialplanners, accountants, tax advisers, insurance professionals,investment managers, and trust officers.
- Develop a strategic communication plan to notify alliedprofessionals of institutional updates and areas of support fortheir prospective clients.
- Act as the primary fundraiser responding to planned givingallied professionals requesting information for their clients.
- Plan an annual allied professionals event to serve as anetworking event.
