Assistant Project SpecialistWe are seeking a detail-oriented and highly organized Assistant Project Specialist to support the successful execution of engineering-related projects. This role partners closely with internal project teams and external stakeholders to help manage project deliverables, timelines, financial tracking, and communication across the full project lifecycle. The ideal candidate thrives in a fast-paced environment and brings strong coordination, analytical, and communication skills.Key Responsibilities:Interface with internal and external project leadership to support overall project execution and milestone trackingAssist with client communication, project financial health tracking, and scheduling systemsCoordinate with project management teams to help deliver projects on time and within budgetProactively communicate with project teams, clients, vendors, suppliers, and subcontractorsTrack, monitor, and analyze project deliverables and milestones using internal systemsSupport preparation and presentation of monthly progress reports, including action items and updatesPlan, coordinate, and facilitate on-site and off-site meetingsReview and process invoices, expense reports, and related documentation for accuracy and complianceAssist with data entry including project change orders, cost report updates, and accounts payable processesSupport project scheduling updates and documentationMonitor submittals and RFIs within construction management software and help expedite responsesAssist in evaluating safety documentation and maintaining compliance tracking systemsHelp develop and maintain site-specific emergency action plansCreate and maintain project records and workflows in construction management systemsCoordinate training programs and maintain compliance records for project personnelAssist in updating SOPs and support onboarding/training of new team membersResearch and resolve project-related questionsPerform additional duties as assigned while ensuring compliance with company policies and standardsQualifications:Bachelor's degree in Business, Accounting, Communications, Construction Management, or related field required OR Associate degree with 2+ years of related experience OR High School Diploma/GED with 4+ years of related experienceMinimum GPA of 3.0 strongly preferredCampus or community involvement preferredExperience with cost management systems preferredStrong analytical thinking and problem-solving skillsExcellent organizational skills and attention to detailStrong verbal and written communication skillsAbility to manage multiple tasks and meet deadlinesAbility to work independently and make sound decisionsDemonstrated ability to communicate effectively across all levels of an organizationProficiency in Microsoft Word, Excel, PowerPoint, and Adobe or Bluebeam requiredBasic knowledge of SharePoint, CRM systems, and Microsoft Teams preferredAspen Technical Staffing Celebrating 25 Years ~ ~ We are an Equal Opportunity Employer.
