Payroll AssistantProvides support to the payroll and time and leave functions of the Human Resources department, ensures the timely and accurate processing of payroll and time and leave records by compiling, organizing, and entering data in the system.Essential Functions:Review and analyze payroll data and reports for accuracy, and resolve discrepancies to ensure accurate posting to payroll recordsAssist in the processing of payroll changes to include but not limited to calculation of special payments and overtime payments, tax withholding, other various deductions, direct deposit, address changes, salary changes, terminations, payment cancellations, etc.Assist with preparation of substitute payroll calculation and data entry.Process paperwork for new employees and enter employee information into the payroll system.Calculate pay adjustments and key data into payroll systemPrepare, process, and track wage garnishments and child support ordersCompile reports as required by management and government agenciesOversee employee exemption certificates, direct deposit and other deductions to update payroll recordsPrepare and process electronic transmission of payroll data such as pension, retirement, insurance and credit union paymentsPerform payroll audits to update employee data in the systemMaintain filing system for payroll and related recordsPrepare and direct processing of deductionsAssist in the coordination and interaction with federal, state and other agencies on issues pertaining to employee compensation or mandatory deductionsPerform duties of Payroll Officer in Payroll Officer's absencePerform related duties as to specific assignmentsProvide service to customers by answering questions, providing information, making referrals, and assuring appropriate follow-through and/or resolutionCommunicate with managers, supervisors, co-workers, citizens, and others, maintains confidentialityAssists in special projects at the direction of the Payroll Officer and Human Resources DirectorOther duties as assignedMinimum QualificationsHigh School Diploma or equivalentExperience or education in basic accountingSign Language: The applicant does not need to have sign language skills at hire but will be required to participate in sign language classes offered at TSD until reaching a level of INTERMEDIATE as evaluated on the Sign Language Proficiency InterviewPayroll Specialist I-IVBA with major coursework in accounting or 4 years' experience in payroll processingAdditional years of experience required for Payroll Specialist II-IV levelsSign Language: The applicant does not need to have sign language skills at hire but will be required to participate in sign language classes offered at TSD until reaching a level of INTERMEDIATE as evaluated on the Sign Language Proficiency InterviewDesirable QualificationsExperience working in CAPPS or other payroll related programPayroll experienceIntermediate or above sign skillKnowledge, Skills and Abilities/AttributesAbility to listen, communicate (written and verbal), excellent grammar, spelling and proof-reading skills, and follow up effectively with all staffing levels.Ability to communicate information and ideas in speaking and writing so others will understand.The ability to choose the right mathematical methods or formulas to solve a problem.Excellent client service skills.Ability to work in team-oriented environment.Ability to work independently in a time sensitive environment.Ability to maintain confidentiality.Ability to prioritize and organize workload, multi-task, adapts quickly to change, and deliver under the pressure of deadlines.Ability to develop and maintain cooperative working relationships with the Payroll, Benefits, and Human Resources Department, as well as clients and vendors.Excellent time management skills and must be detail oriented.Supervisor: Human Resources DirectorMilitary Occupation Specialty (MOS) Code: Payroll Assistant, Payroll Specialist I-IV, see page 5 of is the Texas School for the Deaf's (TSD) policy to provide equal employment opportunities to all employees and applicants for employment without regard to race, color, religion, sex (including pregnancy, gender identity, and sexual orientation), national origin, age, disability, genetic information, political affiliation or belief, or any other characteristic protected by state, federal, or local law.
