Administrative Support ClerkThe Administrative Support Clerk provides comprehensive front-office and administrative support to ensure smooth daily operations. This role manages office supplies, front desk interactions, meeting coordination, and a variety of clerical tasks while supporting the sales team and acting as a brand ambassador within the organization. The position is ideal for someone with strong organizational skills, excellent customer service abilities, and 3–5 years of administrative experience who enjoys a fast-paced, varied workload.ResponsibilitiesOrder office supplies and ensure they are consistently organized and fully stocked.Greet and assist front-area visitors, including vendors, interviewees, and other guests, providing a welcoming and professional experience.Answer and direct incoming phone calls in a courteous and efficient manner.Collect, sort, and deliver mail throughout the office in a timely fashion.Order and coordinate lunches for visitors, corporate guests, and employees as needed.Coordinate meetings and reserve appropriate meeting rooms, ensuring all logistics are in place.Organize, stock, and prepare meeting rooms with necessary materials and supplies before scheduled events.Perform scanning tasks and manage digital filing as required.Print and assemble owners' manuals for products, parts, and related materials.Handle donations, including organizing and processing contributions according to company guidelines.Update and create internal screens or displays to share information and announcements.Create and display flyers and signage to support internal communications and engagement initiatives.Act as a brand ambassador by supporting engagement activities and promoting a positive company image.Assist with service seminars, including coordinating logistics and participating in occasional offsite travel.Distribute updated phone lists to ensure staff have current contact information.Maintain the daily absentee list and communicate updates as needed.Manage the apparel store, including processing orders and coordinating inventory.Assist with reporting and data entry tasks as needed to support various departments.Work closely with the sales group to provide administrative and documentation support.Essential Skills3–5 years of experience in administrative roles such as office administration, daycare management, HR coordination, or similar positions.Proficient in Microsoft Office Suite, including Teams, Word, PowerPoint, and Publisher.Intermediate knowledge of Excel, with the ability to perform tasks such as pivot tables.Proficiency with PDF applications for viewing, editing, and managing documents.Strong organizational skills with the ability to keep multiple tasks and priorities in order.Ability to work independently, take initiative, and follow through on assignments with minimal supervision.Solid administrative support skills, including data entry, customer service, and general office administration.Comfort working closely with a small sales group and supporting their documentation needs.Additional Skills & QualificationsEducation requirements are open, allowing candidates from a variety of educational backgrounds.Experience creating owners' manuals or similar documentation for products and parts is beneficial.Background in roles involving customer-facing responsibilities and office coordination is a plus.Strong communication skills and a professional demeanor when interacting with visitors and internal staff.Ability to adapt to changing priorities and support different departments as opportunities arise.Work EnvironmentThis role is based in the front office, serving as a key point of contact for visitors and staff.
