Administrative AssistantThe College of Engineering Dean's Office is seeking an Administrative Assistant to support the leadership team. This role will serve as the front desk coordinator for the Office of the Dean, acting as the primary point of contact for visitors and inquiries, managing meeting schedules, processing reimbursements, and supporting the daily operations of the Dean's Suite. The position will work closely with the Executive Assistant and administrative staff to coordinate office activities, maintain efficient procedures, and ensure a high level of customer service.

The ideal candidate will bring strong organizational skills, a collaborative approach, and the ability to effectively manage multiple priorities in a dynamic environment.Key responsibilities include:Plan, organize, and coordinate daily office operations and administrative processesGreet visitors, provide information, and route inquiries appropriatelyManage calendars, schedule meetings, and coordinate travel arrangementsDraft, review, and distribute internal and external communicationsCreate and maintain files, records, and databasesServe as liaison with Finance Hubs to initiate and monitor financial transactionsMaintain office supply inventory and place orders as neededCoordinate special events, including space reservations, itineraries, materials preparation, vendor communication, and cross-team logisticsInterview, train, and supervise student employeesMinimum Education, Work Experience & Required CertificationsGeneral Equivalency Diploma (GED) or High School (HS); 2+ years of relevant experience; Required Certifications: NoneThe successful candidate will demonstrate:A commitment to building positive relationships across diverse communitiesStrong interpersonal, communication, and customer service skillsThe ability to work independently while contributing effectively as part of a collaborative teamA commitment to continuous learning, professional development, and mentorshipExceptional organizational skills and attention to detailHow to ApplyTo be considered, candidates must submit a cover letter and resume.Work ArrangementGiven the operational nature of this position, the successful candidate will be expected to work Penn State's standard 40-hour schedule on-site.
