The position is non-clinical and operates within a medical office environment, requiring strong organizational skills and experience with scheduling and workforce management systems.Key ResponsibilitiesDevelop and maintain comprehensive staff and provider schedules, ensuring appropriate coverage for all clinic shifts.Enter, update, and adjust schedules in UKG (Kronos) to reflect real-time staffing changes.Monitor staffing levels and address last-minute changes (illnesses, emergencies, or volume changes) promptly.Ensure all scheduling complies with policies, labor laws, and departmental guidelines.Publish schedules on a regular cycle and communicate changes clearly and in advance.Coordinate weekend and holiday staffing, implementing fair rotating schedules and ensuring adequate coverage.Receive and process time-off requests, verifying eligibility and obtaining necessary approvals.Update schedules to reflect approved time off and arrange coverage as needed.Track attendance and availability, reporting concerns to management as appropriate.Collaborate with HR and Payroll to reconcile schedules with recorded time off.Perform routine audits of schedules to verify accuracy and compliance with regulations.Monitor adherence to work-hour limits, overtime rules, and departmental policies.Prepare and present staffing reports using UKG, Excel, or Tableau to inform leadership decisions.Recommend process improvements based on audit findings and operational feedback.Ad-hoc duties as needed.Required SkillsExperience with EPIC or FASTAbility to read, understand, and respond to detailed oral and written instructionsPreferred SkillsExperience with UKGUnderstanding of medical terminologyEducation RequirementsHSD/GED requiredCertification in healthcare administration or scheduling (preferred)Required Experience1 year of recent experience working in an outpatient clinic or medical office settingNice-to-Have Experience2 years recent experience in large-scale staff and physician schedulingBenefitsMedical, Vision, and Dental Insurance Plans401k Retirement FundAbout the ClientIndustry: Healthcare.
