Administrative SpecialistThe Department of Fire & Rescue is seeking a highly organized and adaptable Administrative Specialist to support programs and staff across multiple levels of the organization. This is a fast-paced role suited to someone who thrives on variety, works well across teams and departments, and takes initiative to keep operations running smoothly.As part of a mission-driven public service organization, you'll have the chance to build foundational experience in administration and program support while contributing directly to the department's operational effectiveness.This position conducts administrative tasks in support of agency administrative operations within the Office of the Chief. You will be challenged to think critically on your feet, resolve unique issues as they arise, and work in a team environment.
Some duties include processing multi-step administrative actions, generating and cross-referencing reports as a member of a cross-functional team.The ideal candidate will demonstrate strong interpersonal and written communication skills, with the ability to effectively engage with the public both in person and through written correspondence. This is an exciting opportunity for an organized, detail-oriented individual who is eager to learn, develop new skills, and grow within the position.The candidate must also be comfortable using Microsoft Teams, WebEx, and Zoom as needed.Minimum Requirements:High school diploma or GED and 2 years of administrative support experience working with a large organization.Preferences:• Excellent organizational and interpersonal skills.• Ability to multitask and successfully prioritize workload.• Ability to successfully utilize Office 365 to include but not limited to Word, Excel and Outlook, as well as Adobe products. SharePoint and Access are a plus.• Previous experience in the public sector.Special Requirements:Effective October 2012, mandated by the Virginia State Board of Health 12VAC5-31-540, VA EMS Regulations require a criminal background check conducted by the Central Crime Records Exchange and the National Crime Information Center via Virginia State Police; and a driving record transcript from the individual's state Department of Motor Vehicles.Work Schedule:This is a non-exempt, 37.5-hour-per-week position, Monday through Friday, from 8:30 a.m.
